Full job description

The Shipping Specialist is responsible for managing and coordinating international import and export logistics across multiple global markets. This role requires a higher level of experience than a standard logistics coordination position, with strong capability in shipment control, customs documentation, international supplier coordination, and ERP accuracy. The position focuses on coordinating stock movement from supplier to customer, managing drop ship processes, ensuring required documentation is completed accurately, and maintaining clear communication with management on shipment status, risks, and delays.

  • Manage international purchase orders from placement through to delivery and invoicing.
  • Oversee drop ship processes from supplier purchase order placement through to customer invoicing.
  • Liaise with suppliers and freight forwarders to ensure timely dispatch and delivery of stock.
  • Prepare, review, and coordinate shipping and customs documentation to avoid delays across Australia, New Zealand, Canada, and the United States.
  • Provide regular updates to management regarding order status, shipment delays, and stock shortages.
  • Work closely with international offices to track order status and delivery timelines.
  • Maintain and update ERP systems with purchase order changes, shipment milestones, and delivery information in a timely manner.
  • Monitor shipment progress across multiple markets and support issue resolution where delays or discrepancies arise.
  • Identify and escalate supply chain risks, documentation gaps, and service issues proactively.
  • Contribute to continuous improvement across shipping, logistics coordination, and system accuracy.
  • Other position-level duties as they arise.

Requirements
  • Bachelor’s degree in Commerce, Supply Chain, International Business, or a related discipline.
  • 7+ years’ experience in international logistics, shipping, or imports/exports coordination.
  • Demonstrated hands-on experience in direct imports/exports coordination within a product-based or trading environment.
  • Strong knowledge of shipping documentation, freight coordination, and customs-related requirements.
  • Experience liaising with suppliers and freight forwarders across multiple countries and time zones.
  • Experience working with multi-currency ERP systems.
  • Strong attention to detail with a high level of accuracy in documentation and data entry.
  • Ability to manage multiple shipments, deadlines, and competing priorities effectively.
  • Proactive problem-solving skills with the ability to identify and resolve shipping issues early.
  • Strong written and verbal English communication skills.
  • Experience in FMCG, distribution, or product-based environments (advantageous).
  • Ability to work independently in an offshore support role while maintaining a high level of service and responsiveness.
