Our Client:
Our client is a growing CFO and accounting services firm supporting values-led organisations.
They are seeking a highly organised and adaptable Bookkeeper & Payroll Assistant to support their growing outsourced finance team. The role is primarily focused on bookkeeping and operational finance support across multiple client entities, while also providing assistance with payroll administration and processing support.
This role is suited to someone who is detail-oriented, fast-paced, process-driven, and comfortable managing competing priorities in a high-volume environment.
You will be working in a multi-client setting, switching between tasks and accounts throughout the day, following structured processes, and communicating professionally with clients and internal stakeholders.
Strong Xero bookkeeping experience is essential. Payroll experience is preferred but can be developed through training.
Key Responsibilities:
- You will support both bookkeeping and payroll operations across multiple clients.
- Your main responsibilities include processing supplier invoices, managing accounts payable workflows, monitoring AP inboxes, following up approvals, and reconciling supplier statements while maintaining accurate records.
- You will perform daily and weekly bank reconciliations, investigate discrepancies, and ensure accurate balances across multiple entities.
- You will assist with finance inbox management, transactional processing, and maintaining organised financial documentation. You will also support month-end preparation tasks and escalate issues when needed.
- In addition, you will communicate with clients and internal teams, follow up on missing information or approvals, and ensure timely processing of financial tasks.
- Payroll support duties include assisting with weekly and fortnightly payroll cycles, validating payroll data and timesheets, supporting payroll reconciliation and reporting, processing employee updates, and assisting with payroll administration within Employment Hero and Xero Payroll. Complex payroll interpretation and final payroll oversight remain with the Finance Operations Manager.
- You will also work across Xero and other cloud-based finance systems, support process improvements, maintain documentation, and assist in identifying opportunities to improve efficiency.
Requirements:
- You will need strong experience in Xero bookkeeping, including accounts payable processing and bank reconciliations.
- Experience working across multiple entities or clients is required, along with strong Excel skills including formulas, formatting, sorting, filtering, pivot tables, reconciliation work, and data review.
- You must have strong organisational and prioritisation skills, high attention to detail, and the ability to manage multiple competing priorities while working at speed.
- Strong written and verbal communication skills are essential, along with the ability to work independently, take ownership of tasks, and confidently ask questions or escalate issues when needed.
- You should have a strong problem-solving mindset and be comfortable learning new systems and technology quickly.
Nice to Have:
- Experience with Australian payroll processing is an advantage, along with exposure to Employment Hero Payroll or Xero Payroll.
- Experience working in outsourced bookkeeping or finance environments is highly desirable, as well as exposure to AI tools or workflow automation.
- Experience supporting month-end processes will also be beneficial.
