About the Role
We are seeking an experienced and highly organised Senior Operations & Administration Manager to lead the daily operations and administrative functions of our NDIS service delivery team. This role is responsible for ensuring operational efficiency, workforce coordination, compliance management, participant satisfaction, and audit readiness across the organisation.
The successful candidate will play a key leadership role in overseeing service delivery standards, managing staff performance, maintaining compliance systems, and supporting business growth initiatives. This position requires strong leadership, problem-solving abilities, and extensive experience in operations and administration management within the disability, healthcare, community services, or related sectors.
The role responsibilities are aligned with the organisation’s operational and administrative SOP requirements.
Key Responsibilities
Operations Management
- Oversee daily operations across all service streams to ensure continuity and quality of services.
- Monitor operational performance, participant outcomes, and workforce efficiency.
- Manage operational escalations, urgent staffing issues, and service disruptions.
- Coordinate workflow priorities and resource allocation.
Workforce Leadership & Rostering Oversight
- Supervise support workers, team leaders, rostering staff, and administrative personnel.
- Conduct staff coaching, performance reviews, corrective actions, and team meetings.
- Oversee workforce scheduling to ensure high shift coverage and effective resource utilisation.
- Monitor overtime, staff fatigue, and workforce capacity planning.
Compliance & Risk Management
- Lead incident management, complaint resolution, and operational risk mitigation.
- Ensure compliance with NDIS Quality and Safeguards requirements.
- Oversee staff compliance monitoring including mandatory documentation and training requirements.
- Collaborate with relevant departments to maintain audit-ready documentation and systems.
Administration & Documentation Oversight
- Ensure participant and staff files are complete, accurate, and securely maintained.
- Maintain quality assurance processes, document control systems, and compliance registers.
- Support internal audits, evidence preparation, and quality reviews.
- Coordinate administrative communication between departments and external stakeholders.
Stakeholder & Business Development
- Manage participant enquiries, referrals, and onboarding coordination.
- Build and maintain relationships with support coordinators, allied health providers, families, and external partners.
- Identify opportunities for service improvement and organisational growth.
Qualifications
- Bachelor’s Degree in Business Administration, Management, Operations Management or a related field.
Experience; Minimum of 7–10 years of experience in:
- Operations Management
- Administration Management
- Workforce Coordination
- Compliance or Service Delivery Leadership
- Previous experience within the NDIS, healthcare, community services, or disability sector.
Pay: Php48,000.00 - Php52,000.00 per month
