About the Company

An oral cosmetics company producing one of the cleanest oil pulling rinses on the market. The brand was built on truly clean ingredients — no stevia, no hidden “natural flavors.”

The company went viral on TikTok within three weeks of launch, sold out six times in its first year, and generated $1.5 million in revenue. The Founder recently became the 100% owner after buying out a business partner and is now scaling aggressively.

The Founder handles the front-end (brand, content, community) and needs a strong operator to own the back-end (supply chain, inventory, operations) so she can stay in her zone of genius.

About the Role

This is a hands-on operations role reporting directly to the Founder.

The company previously had a business partner handling the supply chain and operational side. That role is now open. You will step in to own inventory management, supplier relations, and operational processes end-to-end.

This starts as part-time with a clear path to full-time as the company scales.

Key Responsibilities

Inventory Management

  • Monitor stock levels daily across all sales channels
  • Build and maintain an inventory tracking system/database if one doesn’t exist
  • Forecast demand and manage reorder points to prevent stockouts and overages
  • Track inventory movement from supplier to warehouse to fulfillment
  • Provide weekly inventory reports and insights to the Founder

Supply Chain & Supplier Management

  • Own all communication with suppliers (primarily based in China)
  • Negotiate pricing, lead times, and terms with suppliers
  • Coordinate ordering of raw materials and packaging
  • Monitor production timelines and flag delays proactively
  • Communicate via WhatsApp (primary) and email (for formal documentation)

Operations & Process Improvement

  • Streamline ordering, fulfillment, and inventory processes
  • Identify and reduce bottlenecks, delays, and inefficiencies
  • Work closely with the fulfillment team to ensure timely order delivery
  • Build SOPs and documentation for repeatable operational processes
  • Reduce inventory shrinkage and overages through data-driven improvements

Coordination & Reporting

  • Coordinate with the Founder on operational priorities and product launches
  • Provide regular reports on inventory status, supplier updates, and cost optimization opportunities
  • Support operational planning for new product rollouts
  • Track and monitor cash flow related to inventory purchases, supplier payments, and sales revenue to ensure healthy working capital and flag any gaps or timing issues to the Founder

Required Qualifications

  • Proven experience in inventory management and/or supply chain operations for e-commerce, Oral Care or DTC brand
  • Hands-on experience working with international suppliers (especially in China)
  • Strong negotiation skills — firm, confident, and able to push for the best terms
  • Proactive mindset — you anticipate problems before they happen, not after
  • Comfortable building systems from scratch (databases, trackers, SOPs)
  • Strong written communication skills for supplier and team coordination
  • Comfortable working across time zones (Philippines and U.S.)
  • Experience with e-commerce platforms (Amazon, Shopify, TikTok Shop) is a plus
  • Background in industrial engineering, operations management, or supply chain is a strong plus

Nice to Have

  • Experience working with startup or early-stage companies
  • Familiarity with consumer packaged goods (CPG) or health/beauty products
  • Experience supporting a Founder directly in a lean team environment
  • Track record of reducing costs, cutting delays, or improving operational KPIs

Working Arrangement

  • Starts as part-time with potential to grow to full-time
  • Remote work setup
  • Must be comfortable working hours that align with both China (suppliers) and U.S. (Founder) time zones
  • Primary communication tools: WhatsApp (suppliers), email, and video calls

Important Notes

  • This is a startup environment. Structures are still being built, not inherited. You will help shape the operations from the ground up.
  • The Founder is hands-on with brand and marketing. She needs someone equally strong on the operations side so she can focus on growth.
  • The company has strong margins, so there is room for strategic cost optimization.
  • The previous business partner was reactive with supply chain management. The Founder is looking for someone proactive who stays ahead of inventory needs.

Success Metrics

  • Reduction in stockouts and inventory overages through accurate demand forecasting and proactive reorder management
  • Measurable cost savings from supplier negotiations, optimized lead times, and reduced operational delays
  • Fully documented and streamlined operations (SOPs, inventory tracking system, reporting cadence) within the first 90 days
