About the Role

We’re looking for a highly organised and detail-oriented Project & Systems Coordinator to support the day-to-day operations of a growing Australian plumbing business.

This is a part-time remote role ideal for someone who thrives in structured systems, enjoys keeping things organised, and takes pride in making sure nothing falls through the cracks.

You’ll work closely with leadership to maintain operational accuracy across project management, admin systems, supplier coordination, job tracking, and reporting.

This is not a customer service role; it’s an operations and systems-focused position for someone who loves organisation, follow-through, and accountability.

What You’ll Be Responsible For

Project & System Management

  • Create and maintain jobs, tasks, and project records
  • Upload and organise plans, drawings, and contracts
  • Maintain accurate project documentation and version control
  • Keep operational systems updated and organised

Purchase Orders & Bill Processing

  • Raise purchase orders
  • Match supplier bills to POs
  • Apply accurate job and cost coding
  • Resolve invoice upload issues
  • Track and follow up supplier credits

AroFlo & Xero Administration

  • Maintain clean system integrations
  • Push and review coded bills
  • Review and organise financial records
  • Assist with reconciliation preparation

Timesheets & Payroll Support

  • Review employee timesheets
  • Verify rates and coding accuracy
  • Enter approved timesheets into systems
  • Follow up missing receipts and documents

Pipeline & Reporting

  • Update developer/project pipelines
  • Track project statuses and follow-ups
  • Produce weekly operational reports
  • Flag overdue actions and admin risks

File & Drawing Management

  • Download and organise architectural/design files
  • Maintain folder structure and revision control
  • Upload drawings into estimating platforms
