Job Summary
The Registration Staff is responsible for coordinating and monitoring the Pre-Employment Medical Examination (PEME) requirements and requests of seafarer-applicants. The role serves as the primary point of contact for seafarer-applicants, Manning Principals (MPs), and Manning Agencies (MPAs), ensuring timely updates, accurate information dissemination, proper documentation, and efficient processing of PEME packages.
Key Responsibilities
- Meet the expectations of the MP and MPA in completing the requirements and requests needed for the PEME package in specified time given.
- Accommodates and answers inquiries from Seafarer-applicant, MPs and MPAs in a timely manner.
- Send daily updates to MPs and MPAs on the PEME status of their respective seafarer-applicant.
- Receive calls, text messages and email from seafarer-applicant, MP and MPA to follow-up the PEME status.
- Give accurate and complete information to the seafarer-applicant or MP and MPA based on the remarks of the Evaluating or Consult Doctor reflecting on the Asclepius.
- Recall seafarer-applicant who is in need to report back urgently and to comply with pending tests in order to be declared Fit for Sea Duty.
- Assist seafarer-applicants who are recalled for follow-up tests or procedures, doctor's consultation and in the re-evaluation of their PEME.
- Logs the name of the seafarer-applicant and the attachment for the PEME certificate for Rush Delivery and Pick-up on the Records Logbook as per request by the MP or MPA through Email or an authorization Letter.
- Report the daily number of follow-up and consult seafarer-applicant.
- Validate the identity of the seafarer-applicant whose PEME result is being asked through personal information reflecting on the Asclepius such as but not limited to Last Name, First Name, Middle Name, Birthday, Position at Work, and Principal. Validation is done before giving information to promote confidentiality.
- Read the remarks in detail and thoroughly verify the results showing on the Asclepius before giving information to the seafarer-applicant, MP, MPA or any inquiring body.
- Correct PEME package done for the seafarer-applicant.
- Precision and completeness of the results included in the PEME package, additional and follow-up test requested by the Evaluating or Consult Doctor.
- Ensure rush PEME are accommodated, monitored and declared fit for sea duty per request of the principal through MP and MPA in accordance to the PEME process.
- Observe current status of the seafarer-applicant on a daily basis.
- Request of additional attachments and requirements for the PEME certificate through email from the MP and MPA.
- Monitors the email response or scheduling of MP or MPA for the PEME requirements and package of seafarer-applicant who preceded PEME manually, then endorses to the Registration Clerk for picture taking and bar coding.
- Ensure that the requested Medical Certificate and attachment has been released or picked up and delivered.
Qualifications
- Bachelor's degree in any field.
- Excellent communication and interpersonal skills.
- Detail-oriented and highly organized.
- Proficient in Microsoft Office applications.
- Able to work in a fast-paced environment and handle multiple tasks.
- Experience in healthcare, customer service, or administrative work is an advantage.
