About the Role

We are seeking a highly organized and detail-oriented Medical Records Retrieval Specialist to support a US-based pulmonary practice. The role primarily involves coordinating, tracking, and following up on missing diagnostic imaging and medical reports to ensure patient records are complete and accurately documented within the EMR system.

This position is ideal for candidates with experience in healthcare coordination, medical records retrieval, diagnostic imaging follow-up, referrals, prior authorization, or healthcare customer service.

The ideal candidate is confident in English communication, comfortable making outbound follow-up calls, and highly persistent when coordinating with hospitals, imaging centers, and healthcare providers.

Key Responsibilities

• Track and follow up on pending or missing chest X-ray, CT scan, and diagnostic imaging reports
• Contact hospitals, imaging centers, physician offices, and healthcare facilities to retrieve required medical records and reports
• Monitor patient charts and identify incomplete or missing documentation
• Upload and accurately document reports within the EMR/EHR system
• Maintain organized tracking logs and status updates for outstanding requests
• Coordinate with providers and clinical staff regarding report completion and follow-ups
• Handle outbound and inbound communications professionally using RingCentral and related tools
• Ensure accuracy, confidentiality, and HIPAA compliance when handling patient information
• Perform other healthcare administrative and coordination tasks as assigned

Qualifications

• Previous experience in medical records retrieval, healthcare coordination, referrals, prior authorization, healthcare customer service, or medical virtual assistance
• Experience supporting US healthcare accounts is highly preferred
• Strong spoken and written English communication skills
• Comfortable making outbound follow-up calls to healthcare facilities and providers
• Strong customer service, follow-through, and problem-solving skills
• Previous Experience using EMR/EHR systems preferred; Elation experience is a plus
• Strong attention to detail and organizational skills
• Ability to multitask and manage repetitive follow-up tasks efficiently
• Familiarity with diagnostic imaging workflows or medical terminology is an advantage
• Familiarity with pulmonary terminology such as CT scans, pleural effusion, chest imaging, or radiology reports is a plus but not required
• Willing to work onsite in Ortigas, Pasig City supporting a US-based client
