Role Overview
We are seeking a Sales Assistant to serve as the operational backbone of the sales function. This role is responsible for executing, organizing, and maintaining the daily systems that support retailer and distributor relationships, sales documentation, order monitoring, CRM hygiene, and sales reporting.
The Sales Assistant ensures that sales materials, customer documentation, incoming orders, certifications, spec sheets, and sales data are completed accurately, on time, and without follow-up.
This is a high-execution, detail-driven role, not a strategy or selling position.
Work Schedule (Required)
● Must be available Monday–Friday during U.S. Pacific Time business hours (approximately 8:30 AM–4:30 PM PT)● Part-time role with potential for growth to full-time for candidates based outside the U.S. (e.g., Philippines, Costa Rica, LATAM)
Key Responsibilities
Sales Support (Top Priority)
● Prepare sales materials, presentations, and retailer pitch decks — templates and training will be provided● Use company AI writing tools to draft and send follow-up emails● Complete customer and distributor documentation (new item forms, setup paperwork, promotional submissions)● Maintain organized, current, and accessible sales files● Track outreach, leads, and next steps in CRM or tracking sheets
Success means leadership always has what they need, when they need it, without chasing documents or confirmations.
Order Management
● Monitor incoming web orders (WordPress / WooCommerce); flag exceptions and coordinate with Operations on fulfillment● Onboard new wholesale customers● Process sample orders end-to-end: create, ensure fulfillment, track, and confirm delivery● Monitor and process Faire wholesale orders through to fulfillment● Monitor the orders email inbox daily; respond, route, or escalate as needed● Maintain order tracking visibility for leadership
Customer & Distributor Documentation
● Process and track new-item setup forms, deduction paperwork, and distributor requirements● Maintain organized records of agreements, terms, and active programs● Follow up to ensure customer requests are completed end-to-end● Maintain certifications library (current and organized)● Maintain spec sheets library (with input from Operations)
CRM & Pipeline Support
● Support CRM hygiene; sync any missed activity per team norms● Support pipeline monitoring and forecasting● Support lead qualification and nurturing under leadership direction
Sales Data Collection & Reporting (Not Analysis)
● Pull data from distributor sales reports, retailer portals, CRM, and Faire● Use AI tools to compile clean, structured weekly and monthly sales reports● Ensure data is complete, accurate, and consistently formatted● Work with AI marketing tools to turn data into dashboards for leadership
This role does not analyze data; it prepares data for analysis.
File Organization & Task Tracking
● Organize sales-related SharePoint folders and files● Maintain consistent naming, structure, and accessibility● Track completion of sales tasks and priorities● Flag anything incomplete, missing, or delayed
What This Role Is NOT
● Not a selling or account management role● Not a strategy role● Not a leadership role● Not a “figure it out as you go” role
This is a systems, execution, and follow-through role that is critical to commercial operations. Attention to detail, initiative, promptness, and clear communication are all very important to this role and will help move each prospect closer to the finish line.

Tools & Skills (Required)
● Daily fluency with AI tools (CoPilot, Claude, etc.) for drafting, summarizing, and report generation● Basic spreadsheet skills (Excel, Google Sheets)● Presentation application skills (PowerPoint, Google Slides)● Strong written English● Experience with CRM or sales tracking tools (Attio, HubSpot, Salesforce, or similar)
Preferred / Nice to Have
● Microsoft 365 (Teams, Excel, SharePoint, PowerPoint)● WordPress / WooCommerce order management● Experience with Faire or similar online wholesale marketplaces● Experience supporting a CPG, food, or consumer brand● Familiarity with retailer/distributor portals (e.g., UNFI, KeHE, SPINS)
Success Metrics (First 90 Days)
● Sales materials and decks consistently prepared on time● Leadership has what they need without repeatedly asking● Web, sample, and Faire orders monitored and processed without backlog● Orders email inbox cleared daily● Customer/distributor documentation completed accurately● Certifications and spec sheet libraries current and complete● Sales reports delivered consistently and accurately● Sales file system organized and easy to navigate● Able to support leadership with pitches, including updated sales presentation templates and basic internet or AI searches for market information
Job Offer:
