Experience: Minimum 1+ year supporting property management, real estate operations, or short-term rental (STR) businesses.

About the Role

We are seeking Virtual Assistants in Philippines with professional experience supporting any part of property management operations. You do not need experience in every skill listed—candidates with hands-on experience in any relevant responsibilities will be considered. Experience can include tenant/guest communication, maintenance coordination, leasing support, renewals, listings, delinquency follow-up, owner/tenant reporting support, STR operations, or general property admin.
If you’ve supported property managers, leasing teams, STR operators, or real estate owners and understand how day-to-day property operations run, you’re encouraged to apply.
Responsibilities (Experience in Any of These Areas Is Valued)
Tenant / Guest Communication & Support

  • Handling inbound inquiries (email, phone, text, portals)
  • Responding to routine tenant/guest questions and escalating issues when needed
  • Scheduling follow-ups, showings, inspections, and vendor visits
  • Documenting conversations and outcomes in systems

Maintenance Coordination & Vendor Management

  • Logging maintenance requests and assigning priority
  • Coordinating vendors, collecting quotes, confirming ETAs
  • Tracking work orders to completion and updating tenants/owners
  • Maintaining vendor lists and basic documentation (as needed)

Leasing, Applications & Renewals (Long-Term Rentals)

  • Lead response and scheduling showings
  • Sending application links, tracking applications, coordinating screening steps
  • Preparing lease packets and move-in/out communication
  • Supporting renewals and notices

Operations / Admin / Portfolio Support

  • Updating property/tenant records, notes, and tasks in property software/CRM
  • Maintaining trackers (turnovers, delinquencies, renewals, inspections, utilities)
  • Inbox and calendar management
  • Creating templates, checklists, and internal task workflows

Listings & Marketing Support

  • Creating/updating listings and coordinating photos/info
  • Posting support and basic Canva edits (role-dependent)

Payments / Delinquency / Back Office Support (Role-Dependent)

  • Posting payments and updating ledgers (as assigned)
  • Delinquency follow-up/reminders and documentation
  • Supporting invoices, reporting pulls, and basic admin coordination

Short-Term Rental (STR) Operations (If Applicable)

  • Guest messaging, issue resolution, cleaner coordination
  • Calendar updates, check-in/check-out workflows
  • Review management and escalation handling

You do not need experience in all areas. Candidates with any mix of property management experience are encouraged to apply. We have multiple openings and will place VAs based on strengths.
Required Experience

  • Minimum 1 year in property management support, leasing, STR operations, real estate admin, or related roles
  • Understanding of property operations workflow (even if partial)
  • Experience with CRMs, digital workflows, or property management tools
  • Strong English (written and spoken)
  • Must be located in the Philippines
  • Reliable internet and a quiet work environment for calls
