Position Summary:
The Executive Assistant supports two General Managers across day-to-day administration, meeting coordination, document preparation, and tender support. The client is prioritising a dependable, capable person they can rely on and communicate with easily. Trust, judgement, and follow-through are valued more highly than formal qualifications.
Key Responsibilities:
- Coordinate diaries, meetings, and follow-ups for two General Managers
- Prepare, format, and proof documents to a consistent standard
- Provide tender documentation support, including assembly, formatting, and submission readiness
- Manage travel arrangements, including flights, accommodation, and itineraries
- Resolve day-to-day queries on behalf of both GMs and route work to the right people
- Maintain general administrative cadence: filing, action item tracking, follow-ups, and inbox triage as required
- Liaise with internal finance for any spend or reconciliation matters (credit card reconciliation sits with finance, not the EA)
Required Skills and Attributes
- Strong written and verbal English
- Demonstrated ability to support multiple senior stakeholders simultaneously
- High level of discretion, professionalism, and reliability
- Calm, organised, and capable of switching between tasks across two GMs
- Confident with Microsoft 365 (Outlook, Word, Excel, Teams)
- Comfortable working office-based in Clark, in close communication with the AU team
Preferred Experience
- Prior EA or executive support experience to senior leaders or business owners
- Exposure to Australian clients or AU business hours
- Experience with tender or proposal documentation an advantage
- Comfortable with travel coordination across time zones
Qualifications
Formal qualifications are not a strict requirement. The client is prioritising a trusted, capable person over credentials. Relevant experience and demonstrated reliability take precedence over tertiary qualifications.
