The Registrar for the Victory Christian School, Florida, USA is primarily responsible for overseeing the safekeeping, confidentiality, and integrity of student records for the school. This role serves as a key operational leader, managing the Records Management Team to ensure data accuracy, compliance with US accreditation standards, and seamless service delivery to stakeholders.
Key Responsibilities1. Student Records Management
- Records Integrity: Oversee the safekeeping and integrity of all student records for the VCS partner school.
- Data Maintenance: Maintain accurate, confidential, and up-to-date student records, including enrollment data, grades, and academic transcripts.
- Enrollment Validation: Create, validate, and submit the master list of all enrolled students in accordance with set academic timelines.
- Financial Reconciliation: Work closely with internal teams to validate invoices regarding fees for authenticated/apostilled transcripts, fines, shipping fees, and other related costs.
2. Team Leadership & Supervision
- Operational Support: Support the Chief Registrar for US Schools in leading, training, and coaching team members to ensure efficient service delivery.
- Reporting: Assist in preparing comprehensive reports for internal analysis and external reporting requirements.
- Performance Monitoring: Monitor team productivity (quality and quantity) and ensure strict adherence to Standard Operating Procedures (SOPs) and Service Level Agreements (SLAs).
- Escalation Management: Handle escalated tickets and service recovery cases by coordinating with all involved parties, including customers, until the matter is fully resolved.
3. Quality Assurance & Process Improvement
- Document Accuracy: Responsible for ensuring that all documents prepared by the Records Management Team for release to parents/students are accurate and meet specific request standards.
- Process Optimization: Collaborate with the Chief Registrar to develop and implement procedures that streamline registrar operations and improve efficiency.
4. External Stakeholder Engagement & Policy Implementation
- Representation: Represent the organization in the US
- Compliance: Monitor compliance with VCS policies and accreditation standards.
- Curriculum Guidance: Guide the proper implementation of the partner school curriculum, programs, standards, and policies within a homeschool or distance learning setting.
- Special Projects: Execute other tasks related to Records and Family Support projects, initiatives, and operations as assigned.
Qualifications and RequirementsEducational Background
- Required: Bachelor’s degree in Education, Business Administration, Management, or a related field.
- Preferred: Master’s degree in Higher Education Administration, Educational Leadership, or a related field.
Work Experience
- Minimum of 3 years of experience in higher education administration, records management, student services, or a related field.
- Proven experience in supervising and leading teams and managing complex administrative tasks.
- Familiarity with school accreditation processes and compliance standards (e.g., US Accreditation, DepEd).
Technical Skills
- Proficiency in Microsoft Office applications (Word, Excel) and Google Workspace.
- Experience with Student Information Systems (SIS), Learning Management Systems (LMS), and CRM/ticketing systems.
- Strong reporting and data analysis skills.

- Academic Knowledge: Strong understanding of academic policies, accreditation requirements, and curriculum alignment.
- Leadership: Ability to guide, coach, and motivate teams to achieve performance goals.
- Organization: Strong organizational and time management skills to manage multiple tasks, deadlines, and priorities effectively in a fast-paced environment.
- Communication: Exceptional written and verbal communication skills for collaborating with diverse stakeholders, including parents, schools, and internal teams.
