  • JOB SUMMARY

The HR Store Assistant acts as the ground-level HR presence and generalist within an assigned Jollibee store, serving as the first point of contact for all HR-related concerns of store crew and staff. This role supports the full range of HR generalist functions at the store level — recruitment and onboarding assistance, timekeeping and attendance monitoring, 201 file/documentation management, employee relations first-line support, and policy dissemination — while ensuring store-level HR practices remain compliant with the Forward Together Code of Discipline, Philippine Labor Code, and company policies. The HR Store Assistant works closely with the Store Manager on daily manpower and people concerns, while maintaining a direct reporting line to HR Operations/Employee Relations at Head Office.

KEY DUTIES AND RESPONSIBILITIES

Ground HR Presence & Employee Relations Support

  • Serve as the first point of contact for crew and staff concerns at the store level, including questions on policies, benefits, schedules, and workplace issues.
  • Provide first-line employee relations support, including receiving and documenting employee concerns, complaints, or incident reports prior to escalation to HR Employee Relations.
  • Assist in the preparation and distribution of store-level documentation for disciplinary cases (e.g., Notice to Explain, incident reports, witness statements) under the guidance of HR Employee Relations.
  • Support the conduct of administrative hearings/conferences at the store level by preparing case documents, taking minutes, and coordinating attendance of concerned parties.
  • Promote awareness and understanding of the Forward Together Code of Discipline and other company policies among store crew, addressing basic questions and escalating complex concerns to HR Employee Relations.
  • Help de-escalate and mediate minor workplace concerns at the store level, fostering a positive and harmonious work environment.

Recruitment & Onboarding Support

  • Assist the Store Manager in identifying manpower needs and coordinating store-level recruitment activities (posting of vacancies, initial screening, scheduling of interviews) in coordination with the Talent Acquisition team.
  • Facilitate completion of pre-employment requirements for new hires (government IDs, medical exam, employment documents) and endorse complete documentation to HR for processing.
  • Conduct or coordinate store-level onboarding and orientation for new crew, ensuring they understand store policies, schedules, and basic company information.
  • Monitor completion of new hire requirements and probationary evaluation milestones, coordinating with the Store Manager and HR Operations.

Timekeeping, Attendance & 201 File Management

  • Monitor daily attendance, tardiness, absences, and overtime of store crew, ensuring accurate and timely encoding in the timekeeping/biometric system.
  • Consolidate and validate attendance records and timekeeping reports for submission to Payroll, ensuring accuracy prior to cut-off.
  • Maintain and update store-level 201 files and employee records, ensuring completeness and proper filing of employment documents, memos, and disciplinary records.
  • Coordinate with HR Operations on employee movement transactions (transfer, promotion, regularization, resignation, termination) affecting store personnel.

Policy Dissemination & Compliance

  • Disseminate HR policies, memos, and announcements to store crew, ensuring proper posting, briefing, and acknowledgment as required.
  • Assist in monitoring store compliance with HR-related policies, labor standards, and statutory requirements (e.g., mandatory benefits, working hours, rest days).
  • Support the rollout and completion of company-wide HR programs and initiatives (engagement activities, training rollouts, policy briefings) at the store level.
  • Report store-level HR compliance gaps, concerns, or risks to HR Operations/Employee Relations for appropriate action.

General HR Generalist Support

  • Provide general HR administrative support to the store, including preparation of HR-related correspondence, certificates, and basic employee requests (e.g., Certificate of Employment).
  • Coordinate with Compensation & Benefits, Payroll, and other HR sections on store-level employee concerns (payslips, benefits enrollment, government-mandated contributions).
  • Assist in the preparation of store HR reports (headcount, attrition, attendance summary, case status) for submission to HR Operations and Store Management.
  • Perform other HR generalist tasks and duties as assigned by the Store Manager and HR Department.

MINIMUM QUALIFICATIONS

Education

  • Bachelor's Degree in Human Resources Management, Psychology, Business Administration, or any related field.
  • Fresh graduates with strong interpersonal skills and a genuine interest in HR generalist work may be considered.

Experience

  • At least 1-2 years of relevant experience in HR generalist work, employee relations, or store/branch-level HR support, preferably within a QSR, retail, or fast-paced multi-site operation.
  • Prior exposure to fast-food or restaurant store operations is an advantage, given the need to understand store dynamics and crew concerns firsthand.

Knowledge Requirements

  • Working knowledge of basic Philippine labor standards (Labor Code), employee relations processes (twin-notice rule), and statutory/mandatory benefits.
  • Familiarity with the Forward Together Code of Discipline or similar QSR/franchise code of conduct is a strong advantage.
  • Basic understanding of 201 file management, timekeeping/attendance processes, and recruitment/onboarding procedures.

Technical Skills

  • Proficient in Microsoft Office (Word, Excel) for basic HR documentation and reporting.
  • Comfortable using or learning HRIS, biometric/timekeeping systems, and other store-level HR tools.
  • Good documentation skills, with the ability to prepare clear and accurate reports, memos, and case-related paperwork.

Other Competencies Required

  • Strong interpersonal and communication skills, with the ability to build rapport and trust with store crew and management.
  • High level of integrity, confidentiality, and fairness in handling employee concerns and disciplinary matters.
  • Good judgment and ability to know when to resolve concerns at the store level versus when to escalate to HR Employee Relations.
  • Adaptable and comfortable working within a fast-paced, high-volume store/restaurant environment.
  • Well-organized and able to manage multiple ground-level HR tasks (documentation, attendance monitoring, employee concerns) simultaneously.

WORKING CONDITIONS

  • Store-based assignment; requires physical presence at the assigned Jollibee store during operating hours, including exposure to a fast-paced restaurant/QSR environment.
  • May require flexible scheduling, including shifting hours, weekends, and holidays, in line with store operating hours.
  • Requires occasional travel/coordination visits to Head Office or other stores for HR meetings, case-related activities, or training.
  • Involves direct and frequent interaction with store crew, Store Management, and HR Operations/Employee Relations at Head Office.
