Job Title: Supply Chain & Operations Virtual Assistant (China Sourcing & Logistics)

Location: Remote (Philippines-based)

Working Hours: Morning start aligned with China time zones, overlapping with UK morning hours (GMT/BST)

Employment Type: Full-time

Role Overview

We are a London-based import/export and trading company seeking a proactive, highly organized Operations Virtual Assistant. You will act as the operational bridge between our Chinese manufacturers, freight forwarders, and our London head office.

Your primary responsibility is to track daily production, ensure cargo moves on schedule, and deliver a comprehensive daily status report ready for the UK team when they start their workday.

Key Responsibilities

  • Supplier Follow-ups: Contact Chinese suppliers daily via WeChat, email, or phone to track order progress, sample production, lead times, and resolve production delays.
  • Daily Reporting: Prepare and send a clear, structured handover update every morning before UK working hours begin, detailing order statuses, bottlenecks, and urgent approvals needed.
  • Logistics Coordination: Liaise with freight forwarders, shipping lines, and local agents to obtain shipping quotes, book containers, track shipments, and coordinate customs documentation (Commercial Invoices, Packing Lists, Bills of Lading).
  • Quality & Schedule Tracking: Maintain master tracking spreadsheets (production milestones, ETDs, ETAs) to ensure goods ship on time.

Requirements & Qualifications

  • Proven experience in supply chain coordination, freight forwarding, or e-commerce operations.
  • Direct experience communicating with Chinese suppliers and using WeChat for business.
  • Solid understanding of international shipping terms (Incoterms like FOB, EXW, CIF) and standard shipping documentation.
  • Exceptional written and verbal English communication skills.
  • High autonomy, strong attention to detail, and a stable, high-speed home internet setup.
  • Advantageous: Mandarin language skills (written or spoken) required.

Pay: Php25,000.00 - Php40,000.00 per month
