Job Title: Procurement Staff

Department: Procurement / Supply Chain
Reports To: Senior Director, Luxury Brands (F&B)
Location: Gordon Ramsay Restaurants Philippines – Newport World Resorts (Pasay) and other operational sites

Job Summary

The Procurement Assistant supports the procurement and supply chain operations of Gordon Ramsay Restaurants Philippines by ensuring the timely sourcing, purchasing, and delivery of goods and services required for restaurant operations.

This role assists in coordinating with suppliers, monitoring inventory levels, processing purchase requests and purchase orders, and ensuring that all items purchased meet the company’s quality standards, cost targets, and delivery requirements.

The Procurement Assistant plays a critical role in maintaining operational efficiency by ensuring that kitchen, bar, and operational supplies are consistently available while supporting cost control and compliance with company procurement procedures.

Key Responsibilities

1. Procurement & Purchasing Operations

  • Assist in processing Purchase Requests (PR) from restaurant departments including kitchen, bar, operations, and administration.
  • Prepare and issue Purchase Orders (PO) in accordance with approved procurement procedures.
  • Coordinate with suppliers to ensure timely delivery of goods and services.
  • Track order status and follow up with suppliers regarding delivery schedules.
  • Ensure all purchased items meet the company’s specifications and quality standards.

2. Supplier Coordination & Relationship Management

  • Maintain communication with approved suppliers regarding orders, product availability, pricing, and delivery schedules.
  • Assist in sourcing new suppliers when necessary to ensure competitive pricing and quality.
  • Request quotations from vendors and prepare price comparison reports for management approval.
  • Maintain updated supplier database including contact details, pricing, and service history.

3. Inventory & Stock Monitoring

  • Coordinate closely with the kitchen, bar, and storekeepers to monitor inventory levels.
  • Assist in ensuring that stock levels of food ingredients, beverages, and operational supplies remain within approved par levels.
  • Support inventory audits and periodic stock counts.
  • Monitor fast-moving and critical items to prevent operational shortages.

4. Documentation & Record Keeping

  • Maintain organized records of purchase orders, supplier quotations, delivery receipts, and invoices.
  • Ensure proper documentation for all procurement transactions in compliance with company policies.
  • Assist the finance department in verifying purchase documentation before payment processing.
  • Update procurement tracking systems and databases regularly.

5. Receiving & Coordination with Operations

  • Coordinate with receiving personnel and restaurant departments to ensure accurate delivery of items.
  • Verify that delivered goods match purchase orders in terms of quantity, quality, and specifications.
  • Report discrepancies, damages, or incorrect deliveries to the Procurement Manager immediately.

6. Cost Control & Procurement Compliance

  • Assist in identifying cost-saving opportunities while maintaining quality standards.
  • Ensure all purchases comply with the company’s procurement policies and approval hierarchy.
  • Support initiatives aimed at improving procurement efficiency and supply chain reliability.

7. Administrative Support

  • Assist in preparing procurement reports including purchase summaries, supplier performance, and inventory status.
  • Support the procurement team with administrative tasks related to sourcing and purchasing.
  • Coordinate logistics for special purchases related to restaurant openings, events, or promotions.

Qualifications

  • Bachelor’s degree in Business Administration, Supply Chain Management, Hospitality Management, or related field.
  • At least 1–2 years of experience in procurement, purchasing, or supply chain, preferably in the restaurant, hospitality, or food service industry.
  • Experience working with food and beverage suppliers is an advantage.
