Job Overview
We are seeking an organized, proactive, and technology-oriented Operations Project Coordinator to support operational initiatives, software implementation projects, business systems management, vendor coordination, and day-to-day operational functions.
This role is ideal for someone who enjoys improving processes, implementing technology solutions, managing multiple projects, and driving initiatives from planning through execution. The successful candidate will be highly organized, detail-oriented, and capable of working independently while collaborating across teams and stakeholders.
Key Responsibilities
Project Management & System Implementation
- Coordinate business system implementation and process improvement projects from initiation through completion
- Work closely with internal stakeholders and external vendors to define project requirements, timelines, and deliverables
- Track project progress and provide regular updates to leadership and stakeholders
- Ensure projects are completed on time and within scope
- Assist with system testing, user acceptance testing (UAT), training, deployment, and documentation
- Identify opportunities to streamline workflows and improve operational efficiency through automation and technology
Business Systems & Software Support
- Serve as a primary point of contact for operational software and business applications
- Support software administration, user onboarding, troubleshooting, and vendor coordination
- Assist with system implementation, maintenance, optimization, and integrations
- Create and maintain process documentation, standard operating procedures (SOPs), and training materials
- Coordinate software upgrades, enhancements, and system improvements
Purchasing & Vendor Management
- Manage purchasing activities for supplies, equipment, and operational needs
- Obtain quotes, evaluate vendors, and coordinate procurement processes
- Develop and maintain positive vendor and supplier relationships
- Monitor purchasing activities and identify opportunities for cost savings
- Coordinate vendor communications, contracts, and service agreements
Operations & Administrative Support
- Support operational reporting, audits, recordkeeping, and data management activities
- Assist department leaders with special projects and cross-functional initiatives
- Track action items, project milestones, and operational deliverables
- Maintain organized project files, documentation, and operational records
- Support the implementation of new operational processes and procedures
- Perform additional administrative, operational, and technology-related tasks as needed
Must-Have Requirements
- 3+ years of experience in project coordination, operations, administration, business systems, or a similar role
- Strong project coordination and organizational skills
- Ability to manage multiple projects, deadlines, and priorities simultaneously
- Excellent problem-solving, analytical, and critical-thinking skills
- Strong written and verbal English communication skills
- High attention to detail and strong follow-through
- Proficiency with Microsoft Office, Google Workspace, and business software platforms
- Ability to work independently with minimal supervision
- Strong stakeholder and vendor communication skills
- Comfortable learning and adopting new technologies and systems
Nice-to-Have
- Experience implementing or supporting business software systems such as:
- Learning Management Systems (LMS)
- HR Systems
