Position: Hospice Operations Admin RN

Job Type: Full-time (40 hours/week)

Location: Philippines (Remote, CST hours)

Salary: $7/hr - $8/hr

Overview

We are seeking an experienced Hospice Operations Admin RN to provide remote clinical, documentation, quality assurance, and administrative support to the hospice team. This role will help reduce the back-office workload currently handled by clinical leadership and field staff while improving documentation accuracy, compliance, organization, and follow-through.

The ideal candidate combines hospice clinical knowledge with strong administrative and organizational skills. Responsibilities will span SOC support, medication reconciliation, QA/QAPI, chart review, admissions and intake, DME coordination, employee documentation, office support, and transition to MatrixCare.

Key Responsibilities

Clinical Documentation, SOC & Medication Support

  • Review referral records, medication lists, diagnoses, and other clinical information prior to admissions.
  • Prepare preliminary SOC information and identify missing information requiring clarification.
  • Participate remotely in appropriate SOC visits and assist with documentation and virtual scribing as directed by the field RN.
  • Support documentation of ADLs, functional and nutritional status, wounds, symptoms, education, goals of care, DME needs, and plan-of-care information.
  • Compare medication records and identify discrepancies requiring clinical review.
  • Track missing documentation and support timely completion of clinical records.

QA, QAPI & Billing Readiness

  • Perform chart reviews for completeness, consistency, timeliness, and documentation quality.
  • Review SOC/HOPE documentation, eligibility and decline documentation, PPS, ADLs, medication reconciliation, plans of care, CTIs, recertifications, F2Fs, IDG documentation, orders, visit records, and required signatures.
  • Identify incomplete or potentially noncompliant documentation and coordinate follow-up with the appropriate clinician.
  • Support QAPI tracking, corrective-action follow-up, survey readiness, and reporting of key quality indicators.
  • Review charts for billing readiness and identify missing documentation, certifications, orders, signatures, or other deficiencies before billing.
  • Coordinate documentation deficiencies with clinical or billing personnel while leaving final clinical and billing decisions to designated staff.

Admission, Intake & Patient Support

  • Organize referrals, identify missing admission information, create patient charts, and assist with patient setup.
  • Support insurance and benefit verification and route issues requiring additional review.
  • Track outstanding admission requirements and follow up with clinical leadership and field staff.
  • Assist with ordering authorized DME and patient supplies and track outstanding orders and deliveries.

HR, Employee & Office Support

  • Maintain organized electronic employee files and track required or expiring compliance documentation.
  • Assist with employee onboarding, system access, account setup, and related administrative tasks.
  • Help triage incoming office calls and route clinical or administrative concerns appropriately.
  • Provide general back-office follow-up and administrative support to the DON, DPCS, and agency leadership.

MatrixCare Transition & System Support

  • Assist with employee and patient setup as ADMT transitions to MatrixCare.
  • Help organize and transfer required information into the new EMR.
  • Track transition tasks and follow up on incomplete items through completion.
  • Help document workflows and procedures as the team adopts MatrixCare.

Clinical Administrative & Leadership Support

  • Track outstanding orders, physician certifications, recertifications, F2Fs, missing signatures, and other time-sensitive items.
  • Prepare charts and information for IDG meetings, admissions, recertifications, and care coordination.
  • Maintain organized tracking of SOCs, chart reviews, medication discrepancies, documentation deficiencies, and other assigned clinical or operational items.
  • Take ownership of assigned tasks through completion and proactively communicate barriers or required follow-up.

Preferred Skills & Qualifications

  • Current Registered Nurse (RN) license required.
  • Hospice experience strongly preferred; home health, palliative care, or closely related experience may be considered.
  • Knowledge of hospice documentation, medications, plans of care, medication reconciliation, eligibility, certifications, and recertifications.
  • Experience with SOC/admission documentation, clinical chart review, and clinical administrative workflows.
  • Ability to identify incomplete, inconsistent, or potentially noncompliant documentation.
  • Strong organizational, communication, and follow-through skills.
  • Understanding of HIPAA and appropriate handling of protected health information.
  • Ability to work independently and manage multiple clinical and administrative priorities.

Nice-to-Have (Bonus Skills)

  • Hospice QA/QAPI, chart auditing, survey-readiness, or billing-readiness experience.
  • Familiarity with MatrixCare and Kinnser/WellSky.
  • Hospice intake, insurance/benefit verification, or admission coordination experience.
  • DME/supply coordination or employee onboarding/compliance experience.
  • Experience supporting an EMR implementation or system transition.
