Job Title: Senior Personal Injury Case Manager (Remote)
Schedule: Full-time | Monday to Friday, 9:00 AM – 6:00 PM U.S. Pacific Time (California)
Department: Pre-Suit | Plaintiff Personal Injury
Reports To: Managing Attorney
About the Role
We are a fast-growing, results-oriented Plaintiff Personal Injury law firm seeking a highly experienced Senior Case Manager to step into a high-responsibility role. You will manage high-value personal injury cases from intake through settlement and close-out. You will serve as the primary point of contact for our clients, coordinating medical treatment, managing complex insurance claims, preparing polished demand packages, and ensuring strict compliance with all deadlines.
We are looking for a true professional who thrives in a fast-paced remote environment, communicates directly, and can manage a high volume of details without dropping the ball. If you are just looking to coast, this is not the job for you. If you are driven by results, value clear systems, and want to be rewarded for your hard work, we want to talk to you.
Key Responsibilities
Client Communication & Case Management
- Serve as the primary client contact via phone, email, text, and client portal.
- Onboard new clients and clearly set expectations from day one.
- Provide regular case updates with empathy and professionalism.
- Maintain organized, highly detailed case notes and next actions in our case management system.
Insurance Claims & Coverage
- Open and aggressively manage Bodily Injury, MedPay/PIP (if applicable), and UM/UIM claims.
- Rapidly obtain declarations pages, policy limits, and adjuster information.
- Request, track, and file UM/UIM Selection or Rejection Letters for applicable policies.
- Ensure complete and timely coverage verification for every file.
Deadlines & Compliance
- Calendar and meticulously track California deadlines, including the 2-year statute of limitations and municipal/ante litem notice deadlines.
- Maintain a standard of zero missed deadlines and perfectly accurate documentation.
Medical Treatment & Records
- Coordinate medical provider referrals under attorney direction.
- Monitor treatment progress and MMI status.
- Request, track, and strictly quality-check HIPAA-compliant medical records and bills.
Liens & Subrogation
- Open and tightly manage Medicaid, Medicare, ERISA, and private health insurance liens.
- Obtain final lien demands and assist with aggressive reductions.
Demands, Settlement & Close-Out
- Prepare highly polished demand packages, including liability summaries, damages narratives, medical specials spreadsheets, and supporting exhibits.
- Support settlement negotiations for high-value cases under attorney supervision.
- Process settlements, releases, disbursements, and case close-out checklists.
Performance Metrics (KPIs)
We use KPI tracking to reward high performers with bonuses, not for micromanagement. You will be measured on:
- Time from assignment to demand and settlement.
- Coverage completeness (UM/UIM letters and verified limits secured within 30 days).
- Medical records turnaround time and first-pass completeness.
- Zero missed deadlines and clean CRM documentation.
- Time Zone Integrity: Strict adherence to 9 AM – 6 PM Pacific Time. You must be actively online, responsive, and working solely for our firm during these hours.
Qualifications
- Legal Credential: A Bachelor of Laws (LL.B.) or Juris Doctor (J.D.) and a Member of the Philippine Bar is highly preferred. We are seeking a trained legal mind who understands litigation mechanics, liability strategy, and case arguments.
- Experience: Proven plaintiff personal injury pre-suit case management experience. Direct, heavy-hitting California PI experience is strongly preferred.
- Core Legal Knowledge: Deep working knowledge of UM/UIM, MedPay/PIP, policy limit demands, medical billing terminology, and complex liens/subrogation (ERISA, Medicare, Medi-Cal).
- Exceptional Communication: Master-level written and verbal English communication skills. You must be comfortable handling tough client de-escalations and driving hard negotiations with insurance adjusters.
- Work Style: Highly organized, detail-oriented, proactive, and fiercely independent. You must dictate your day rather than waiting for an email or a phone call to tell you what to do next.
- Comfortable working completely independently in a fast-paced remote setting.
Technology & Tools
- Experience with at least one major PI case management system (Filevine, Needles, SmartAdvocate, Lead Docket).
- Comfortable with Microsoft 365.
- Familiar with e-fax, e-signature tools, and VOIP systems.
- (Training is provided for firm-specific tools.)
Compensation & Benefits
- Salary Range: $1,000 to $2,500 USD Monthly (Paid bi-weekly, strictly scaled based on depth of California PI experience, technical mastery, and leadership capability).
- 40-Hour Work Week: Monday to Friday, 9 AM to 6 PM Pacific Time.
- Aggressive Performance Bonuses: Tied directly to KPIs (Up to $1,000 USD additional per month for hitting file velocity and resolution metrics).
- Position Track: Full-time, long-term career track.
- An efficient team environment with well-defined processes, direct collaboration with a U.S. attorney, and major opportunities for operational growth.
Why Join Our Firm
- Stable, long-term remote role (not project-based).
- Direct collaboration with a U.S. attorney.
- Well-defined processes and realistic expectations.
- Opportunity to grow with a plaintiff-side personal injury practice.
- Professional Utilization: Your legal training and analytical skills will be fully utilized to drive case strategies, draft advanced demands, and manage pipelines, rather than being restricted to low-level data entry.
Workspace & Technical Requirements
To support a successful remote work environment, applicants chosen for an interview must demonstrate:
- A dedicated, quiet workspace.
- Stable internet connectivity (Minimum: 50 Mbps Download).
- Reliable computer specifications (Minimum: 8GB RAM, i5 processor or equivalent).
Pay: Php61,400.00 - Php154,000.00 per month
Benefits:
- Additional leave
- Flexible schedule
- Paid training
- Pay raise
- Work from home
Application Question(s):
- To confirm you have read the entire description and are not using an automated bot application, please type the exact phrase “California PI Closer - [Your Full Name]” in the text box below. Applications that leave this blank or do not use this exact format are automatically archived.
- Please paste your 2-to-3 minute Loom introduction video link below. In this video, introduce yourself, show your workspace, and verbally answer this scenario: A client calls you absolutely furious. It’s been 8 months since their accident, they just finished treatment a week ago, and they want to know why they don't have their settlement check yet, threatening to fire the firm. De-escalate them live.
- You have a California auto-collision file. The at-fault Geico policy is $15k/$30k. Your client's ER and physical therapy bills total $42,000, and they have an active ERISA health insurance lien. Walk me through your exact step-by-step strategy to get this file closed and put money in the client's pocket.
- An adjuster from State Farm is refusing to tender a $100k policy limit, arguing that the client's MRI findings (a 3mm disc bulge) are degenerative and not related to the rear-end impact. What specific evidence and arguments are you putting in the demand letter to force them to pay?
- You inherit a messy Filevine dashboard with 40 pre-litigation files. 10 are waiting on medical records, 5 are ready for demands, and 3 have upcoming statute of limitations deadlines in 60 days. How do you prioritize your first 48 hours on the job?
- You get a new intake for an intersection collision. The police report incorrectly places your client 100% at fault, but your client insists the other driver ran a red light. The other driver claims your client ran the light. What are your immediate next steps to flip liability and find coverage?
