Administrative Agent (Remote – Philippines)

Job Summary

The Administrative Agent is responsible for providing administrative, operational, and coordination support for the company’s training operations, including WSQ and non-WSQ courses. The role involves handling course scheduling, ERP and TPGateway administration, B2B client coordination, grant and SkillsFuture matters, trainer coordination, reporting, and general administrative duties to ensure smooth daily operations and compliance with regulatory requirements.

Job Responsibilities

1. Administrative Duties

  • Assist with SFC approval processes based on clients’ submitted information.
  • Calculate and prepare trainers’ fees accurately and in a timely manner.
  • Liaise with relevant authorities such as SSG regarding enquiries, clarifications, appeals, or discrepancies.
  • Coordinate with SCDF to update CPD points for learners who attended certification training.
  • Handle and respond to SSG enquiries relating to grants, SkillsFuture Credit audits, and related matters.
  • Prepare monthly reports on learner outcomes, including competent, not competent, and absent records.
  • Maintain and update trainers’ attendance and training records.

2. B2B Coordination Duties

  • Respond to B2B enquiries via email, WhatsApp, and other communication channels.
  • Prepare quotations for B2B clients for both WSQ and non-WSQ courses.
  • Update and maintain B2B records, payment status, and related information in internalsystems.

3. ERP Administration Duties

  • Create and manage classrooms and learner registrations in the ERP system.
  • Update class results for B2B and B2C learners in the ERP system.
  • Update B2B payment records in the ERP system.
  • Update enrolment ID status to “Complete” upon receipt of grant disbursement.
  • Identify, investigate, and report ERP discrepancies, and coordinate with relevant parties for resolution.

4. TPGateway Duties

  • Create and manage course runs, enrolment IDs, assessments, attendance records, and trainers’ particulars in TPGateway.
  • Process B2B and B2C learner registrations in TPGateway.
  • Monitor SkillsFuture Credit submissions, claims, cancellations, and related matters.
  • Reconcile SkillsFuture Credit submissions against invoices.
  • Review course runs and identifies discrepancies in TPGateway, and coordinate with SSG or relevant parties for resolution.

5. Scheduling & Course Coordination

  • Coordinate trainers’ availability, scheduling, and deployment arrangements.
  • Prepare and maintain WSQ training schedules, course calendars, and monthly training calendars for operational and marketing purposes.
  • Create and update classrooms in the Slots Checklist system.
  • Update course pricing and training schedules whenever changes are required.

6. General Duties

  • Perform all other ad hoc duties as assigned by the company.

Job Requirements

  • Minimum Diploma qualification in Business Administration, Operations, Customer Service, Education, or related fields.
  • Prior experience in administrative, coordination, training operations, or customer service roles will be advantageous.
  • Proficient in Microsoft Office applications, including Microsoft Excel, Word, and Outlook.
  • Able to communicate effectively in English, both written and spoken.
  • Strong organizational skills with the ability to manage multiple tasks and deadlines efficiently.
  • Detail-oriented and able to handle administrative records accurately.
  • Comfortable handling communication with clients, trainers, and government agencies professionally.
  • Able to work independently with minimal supervision in a remote working environment.
  • Willing to learn and adapt to ERP systems, TPGateway, and internal operational processes.
  • Possess good problem-solving skills and the ability to handle discrepancies or operational issues effectively.
  • Responsible, reliable, and able to maintain confidentiality of company and client information.
  • Able to work beyond normal working hours when required to support operational needs.

Pay: Php14,000.00 - Php20,000.00 per month
