GENERAL VIRTUAL ASSISTANT

Role Overview:
We are looking for a reliable and detail-oriented Virtual Assistant to support daily operations. This role involves handling administrative tasks, coordinating schedules, and ensuring smooth communication across teams and clients.

Key Responsibilities:

  • Manage and respond to emails and phone inquiries
  • Schedule appointments and maintain calendars
  • Organize and update contact lists and online records
  • Prepare customer spreadsheets and documentation
  • Conduct market research as needed
  • Create presentations and reports when assigned
  • Handle administrative concerns from employees
  • Serve as the first point of contact for customer support
  • Organize, prioritize, and track tasks and progress
  • Ensure client expectations and deliverables are met
  • Identify workflow issues and recommend improvements
  • Analyze data and prepare reports for management use
  • Support goal setting for individuals and teams
  • Generate monthly and annual performance reports
  • Perform additional administrative tasks as required

Qualifications:

  • At least 6 months of relevant experience (e.g., Marketing, Executive Assistant/Secretary)
  • Experience as a Virtual Assistant, Customer Service Representative, or in the BPO industry is a plus
  • Familiarity with tools such as CRM systems, cloud platforms, and remote collaboration tools
  • Proficient in AI tools (e.g., ChatGPT, Sora, Midjourney, Lumen5, or similar)
  • Knowledgeable in managing social media platforms
  • Skilled in Microsoft Office and spreadsheet tools
  • Experience using online calendars (e.g., Google Calendar)
  • Strong communication skills across phone, email, and messaging platforms
  • Basic knowledge of creative tools (graphics/video editing) is an advantage
  • Tech-savvy with strong computer skills
  • Excellent time management and organizational abilities
  • Able to handle multiple tasks and shifting priorities
  • Detail-oriented, focused, and adaptable
  • Works well both independently and within a team

Equipment Requirements:

  • Laptop/Desktop (Core i3/i5 or equivalent AMD processor, with at least 8GB RAM)
  • Noise-cancelling headset
  • Wired internet connection (minimum of 30 Mbps)
  • Required software: Microsoft Office, PDF reader, AnyDesk, Google Drive, Discord
