Schedule: Regular Work Hours

• Weekdays : 8am-5pm
• Saturdays : 8am-12nn (alternate shift on Saturday after first 3 months)
• No Work on Sundays and Holidays

Duties & Responsibilities

• Daily Reports: Generate and review daily reports for new patients, new referrals, closed patients, and re-opened patients.
• Patient and Visitor Interaction: Greet and assist patients and visitors both in person and on the phone.
• Call Management: Answer, transfer, or handle calls coming into the reception area.
• Patient Documentation & Monitoring: Update and maintain patient records (personal information, consent forms, and photographs), keep track of new and admitted patients daily.
• Schedule Coordination: Inform physician coordinators about changes in medical specialists' schedules and update the list of specialists as needed.
• Coordination of Services: Arrange ambulance transport and hospital assistance for patients.
• Patient Charting and Biometric Registration: Chart new patients, edit photos, and register them in the biometric system.
• File & Referral Management: Upload new patient files to the portal and manage email instructions about the new referrals to the appropriate personnel.
• Case Management: Collect data on closed, reopened, and new admissions, and prepare monthly and quarterly census reports.
• Administrative Tasks: Send Letters of Authorization (LOA) to facilities, and manage medical messengers’ itinerary.
• Feedback Summary: Compile and summarize patient feedback at every end of the month.
• Procedure Documentation: Handle medication procedures (scanning, renaming, uploading, and completing) and prepare authorization letters for procedures.
• Supply Monitoring: Oversee and manage supplies in the Physical Examination Room.
