Job Title: Remote Document & Chart Preparation Specialist (eClinicalWorks – US Healthcare)
Location: Remote (Philippines)

Position Overview
We are a U.S.-based cardiology practice seeking an experienced Document & Chart Preparation Specialist to support clinical operations within eClinicalWorks (eCW).
This is a hands-on, detail-oriented role focused on medical document handling, chart preparation, and workflow improvement. You will be responsible for ensuring that patient charts are complete, accurate, properly categorized, and ready for provider review.
Candidates must have prior experience working in a U.S. healthcare environment using eClinicalWorks.
Important: You must be able to overlap with U.S. Pacific Time business hours.
Key Responsibilities
- Review and organize incoming medical documents in eClinicalWorks
- Accurately assign documents to the correct patient chart
- Categorize and label documents appropriately (consult notes, imaging, labs, referrals, etc.)
- Route documents to the appropriate provider or clinical workflow queue
- Prepare patient charts in advance of appointments to ensure completeness
- Identify missing or incomplete documentation and coordinate follow-up
- Assist in refining document routing and chart preparation workflows
- Help develop SOPs and train staff on document handling best practices
- Maintain HIPAA compliance and data security standards
Required Qualifications
- Demonstrated hands-on experience using eClinicalWorks (eCW)
- Experience handling, categorizing, and routing medical documents in a U.S. healthcare setting
- Experience preparing charts for provider review
- Experience training or supporting staff in documentation workflows
- Strong attention to detail and organizational skills
- Strong written and spoken English
- Ability to work independently in a structured remote environment
- Must be able to overlap with U.S. Pacific Time business hours

Candidates may previously have worked as:
- Medical Records Specialist
- Clinical Documentation Reviewer
- Chart Preparation Specialist
- Referral or Authorization Coordinator
- Healthcare Virtual Assistant (with EHR experience)
- EHR Super User / Documentation QA Reviewer
Selection Process
Our selection process is simple and straightforward:
1. Resume Review
We evaluate relevant experience, including coding knowledge, cardiology exposure, and eClinicalWorks (eCW) use.
2. Assessment Test
Qualified applicants will complete a short, general (non-coding) skills assessment focused on attention to detail, comprehension, and work approach.
3. Interview & Practical Review
Candidates who perform best on the assessment and meet role requirements based on their resume will be invited to a live interview. During the interview, you will review de-identified outpatient cardiology documentation and share your assessment. Strong spoken and written English skills are essential.
