About Shore360:

Shore360 is a 100% Australian-owned BP firm based in the Philippines, providing customized staffing and administrative support for international companies, handling recruitment, HR, IT, and office facilities so clients can focus on core business, offering transparent pricing, dedicated teams, and flexible setups.

About the Role:

We are looking for a Virtual Assistant (Accounts Payable/ Admin) to support our US-based real estate client.

Responsibilities:

1. Responsible for all accounts payable functions for their assigned divisional portfolios, including but not limited to:

  • Upload, code, and process invoices
  • Reviewing for duplicate invoices prior to processing
  • Reviewing for previous balances to ensure the correct invoice amounts gets paid
  • Create new vendor profiles, including uploading W-9 and insurance documentation
  • Assist our main in-house AP specialist in processing and printing checks
  • Upload Positive Pay files to bank
  • Ability to research any missing invoices or vendor discrepancies
  • Assist in annual 1099 filings

2. Complete monthly bank reconciliations across independent accounts and large comingled funds within the first 5 business days of the month. Download monthly cash activity directly from banks.

3. Assistance with booking general journal entries as needed

  • Booking simple, routine transactions encountered during bank recons
  • Booking monthly lender mortgage payment activity (i.e. interest, principal, escrows, etc.)

4. Roll forward monthly distribution calculations and assist with getting appropriate numbers into our Entrata (bookkeeping) system

5. Generate monthly financial reporting packs and distribute electronically to external owners

6. Assist in ad-hoc and administrative projects as needed, including gathering documentation, rolling forward workpapers, identifying ancillary fee pickups, etc.

General Finance Department Structure :

  • Work closely under in-house AP specialist and assigned Senior Accountant
  • Routine work and supervision under Assistant Controller
  • Occasional work with CFO on special projects

Qualifications :

  • 3-5 years of general accounting and accounts payable experience
  • Bachelor's degree (Accounting or Finance preferred)
  • Need to work USA based hours, specifically 8AM-5PM USA PST (11PM-8AM PH Time)
  • Ability to multi-task and handle differing projects timely and efficiently
  • Ability to rollforward workpapers with minimal guidance
  • Understanding of monthly accounting cycle processes
  • Strong Verbal and Written Communication Skills and a Team Player
  • Well versed in Microsoft Excel
  • Experience using cloud-based accounting software (Entrata preferred)
