Full job description

Are you an experienced Medical Receptionist with a passion for coaching and developing others? We're looking for a Medical Receptionist Training Coordinator to help train and support healthcare virtual professionals serving U.S.-based medical practices.

If you have extensive experience in front-office medical operations and enjoy facilitating training, mentoring new hires, and improving learning programs, we'd love to hear from you.

What You'll Do

As the Medical Receptionist Training Coordinator, you will be responsible for delivering engaging training programs and ensuring learners are equipped with the knowledge and skills needed to support U.S. healthcare providers.

Key Responsibilities

  • Deliver instructor-led and recorded training sessions for Medical Virtual Assistants.
  • Train learners on appointment scheduling, patient registration, insurance verification, referrals, authorizations, and electronic medical records (EMR) navigation.
  • Conduct mock call simulations and scheduling exercises to prepare learners for real-world patient interactions.
  • Facilitate Skills Evaluation Interviews (SEIs) to assess communication skills, workflow accuracy, and system proficiency.
  • Provide coaching, structured feedback, and recovery training to learners requiring additional support.
  • Develop and continuously improve training materials, micro-learning modules, and instructional content.
  • Respond to learner questions regarding scheduling workflows, patient coordination, documentation, and insurance verification.
  • Reinforce HIPAA compliance, patient privacy, and proper documentation standards.
  • Collaborate with subject matter experts to update training materials based on process improvements and healthcare industry changes.
  • Track learner progress using Learning Management Systems and reporting tools.

Qualifications

We're looking for candidates who have:

  • At least 3 years of experience as a Medical Receptionist or Front Office Staff supporting a U.S. medical practice.
  • Hands-on experience with appointment scheduling, patient registration, insurance verification, referrals, prior authorizations, and inbound patient calls.
  • Strong working knowledge of Electronic Medical Record (EMR) or Practice Management Systems such as Athenahealth, eClinicalWorks, Kareo, AdvancedMD, Epic, or similar platforms.
  • Experience onboarding, coaching, or training Medical Virtual Assistants, Medical Receptionists, or healthcare support staff.
  • Excellent communication, presentation, and facilitation skills.
  • Solid understanding of HIPAA regulations and Protected Health Information (PHI) handling.
  • Experience using TalentLMS, Salesforce, Canva, Calendly, Google Workspace, or similar productivity tools is an advantage.
  • Strong organizational skills with the ability to manage multiple training initiatives simultaneously.
