Job Title: MEDICAL RECORDS OFFICER

Location: Commonwealth Quezon City

Qualifications

  • Education: Bachelor’s Degree in Business Administration, Public Administration, Office Management, Information Management, or any related field
  • Experience: Prior experience in records management, document control, or administrative roles is an advantage but not required

Job Summary

We are looking for a detail-oriented Document/Records Officer to manage, monitor, and maintain all organizational documents and records across dialysis centers. You will ensure compliance, track renewals, and coordinate equipment calibration schedules to support smooth operations and regulatory requirements.

Key Duties & Responsibilities

1. Records & Contract Management

  • Monitor and maintain Memorandums of Agreement (MOA) and other contracts per dialysis center
  • Track expiration dates and prepare renewal documents ahead of deadlines
  • Ensure all records are updated, accurate, and stored in both physical and digital filing systems
  • Coordinate with centers and external partners for document submission and retrieval

2. Compliance & Monitoring

  • Ensure all required documents meet regulatory and organizational standards
  • Conduct periodic audits of records to identify missing, outdated, or non-compliant documents
  • Prepare compliance reports for management review

3. Equipment Calibration Coordination

  • Maintain a schedule for calibration of all medical equipment across centers
  • Liaise with service providers and internal teams to ensure timely calibration and documentation
  • Keep records of calibration certificates and service reports

4. Documentation & Reporting

  • Organize, file, and retrieve documents efficiently upon request
  • Prepare reports on document status, renewal timelines, and compliance issues
  • Assist in preparing documentation for audits and inspections

5. Administrative Support

  • Support other administrative tasks related to document control and record-keeping

Implement and improve document management processes for efficiency and accuracy

SKILLS

  • Strong organizational and time management skills
  • Attention to detail and accuracy
  • Proficient in MS Office, especially Excel and Word
  • Familiarity with document management systems is a plus
  • Good communication and coordination skills

Other Requirements:

  • Ability to handle confidential information with discretion
  • Can work independently and meet deadlines
  • Willing to coordinate with multiple dialysis centers

Pay: From Php22,000.00 per month
