Job Summary

We are hiring a Medical Records Specialist to manage patient medical records and ensure accurate documentation within healthcare systems. This role involves processing patient and provider requests, attaching medical documents to patient charts, and maintaining strict compliance with healthcare privacy regulations.

The ideal candidate has strong attention to detail, understands medical documentation processes, and can efficiently manage multiple requests while ensuring data accuracy and confidentiality.

Key Responsibilities

  • Process patient and provider medical records requests with professionalism and confidentiality
  • Attach incoming documents to the correct patient charts to ensure accurate record keeping
  • Investigate provider notes and documentation before processing patient requests
  • Ensure all requests follow HIPAA and healthcare privacy guidelines
  • Respond to inbound faxes and medical documentation requests
  • Investigate requests and aim for same-day resolution whenever possible
  • Conduct follow-ups on pending inquiries and documentation requests
  • Receive and route messages to healthcare providers when needed
  • Maintain accurate records in the medical records system
  • Ensure all documentation includes proper patient identifiers (name and date of birth)
  • Track assigned tasks and meet daily productivity targets

Qualifications

  • Experience in medical records, healthcare administration, or healthcare support preferred
  • Knowledge of HIPAA compliance and patient data privacy
  • Familiarity with EHR/EMR systems is a plus
  • Strong attention to detail when handling patient documentation
  • Ability to manage high-volume administrative healthcare tasks
  • Strong organizational and communication skills
  • Comfortable using communication tools such as Slack and internal systems
