About the Role

We are looking for an experienced, highly organized, and proactive Case Management Operations Lead to oversee the day-to-day operations of a team supporting a leading U.S.-based medical lien company.

This leadership role is responsible for ensuring every case progresses efficiently from start to finish. You will oversee workflows, monitor team performance, identify bottlenecks, coordinate with U.S.-based stakeholders, and drive operational excellence across the team.

If you're someone who enjoys solving problems, optimizing processes, leading people, and making sure nothing falls through the cracks, we'd love to meet you.

Key Responsibilities

As the Case Management Operations Lead, you will:

  • Monitor active cases daily using the client's case management system.
  • Identify delayed or stalled cases and ensure timely follow-up and resolution.
  • Coordinate with Case Managers to keep cases moving efficiently.
  • Communicate with U.S.-based team members regarding case updates, missing information, and operational concerns.
  • Review case notes to ensure documentation is accurate, complete, and compliant with internal standards.
  • Monitor team productivity, workload distribution, and overall performance.
  • Escalate critical issues and recommend practical solutions.
  • Coach, mentor, and support Case Managers to improve performance and accountability.
  • Assist with onboarding and training new team members.
  • Help develop, document, and improve operational processes and workflows.
  • Prepare reports and provide regular updates on team performance and case status.

Qualifications

Required Experience

  • At least 3 years of experience in operations, case management, legal support, healthcare coordination, insurance, or a related field.
  • At least 1 year of leadership, supervisory, or team management experience.
  • Proven ability to manage multiple cases, projects, or workflows simultaneously.
  • Experience coordinating with cross-functional teams and multiple stakeholders.

Preferred Background

Candidates with experience in any of the following industries are highly encouraged to apply:

  • Personal Injury Law
  • Medical Lien Companies
  • Medical Records Coordination
  • Workers' Compensation
  • Healthcare Operations
  • Legal Operations
  • Insurance Claims
  • Case Management

Skills & Qualifications

We're looking for someone who has:

  • Excellent English communication skills, both written and verbal.
  • Strong leadership, coaching, and people management skills.
  • Outstanding organizational and time management abilities.
  • Strong analytical and problem-solving skills with exceptional attention to detail.
  • The ability to prioritize competing tasks in a fast-paced environment.
  • A proactive, accountable, and solution-oriented mindset.
  • Confidence communicating with U.S.-based clients and internal teams.
  • Proficiency in Google Workspace or Microsoft Office.
  • Experience using CRM, case management, or workflow management software (preferred).

What Success Looks Like

Successful candidates naturally ask questions such as:

  • Which cases are delayed?
  • Why are they delayed?
  • Who owns the next action?
  • What can I do today to move this case forward?

You take ownership, follow through, solve problems before they escalate, and ensure every case continues moving toward resolution.

Why Join Us?

  • Work directly with a fast-growing U.S.-based company in the medical-legal industry.
  • Enjoy the flexibility of a fully remote work environment.
  • Take on a meaningful leadership role with opportunities for professional growth.
  • Be part of a collaborative, supportive, and high-performing team.
