About Us

CoolPC Inc is a Kirkland based niche electronics manufacturer/distributor that has been on Seattle's Eastside for over twenty years with facilities in Port Angeles, Washington and Long Beach, California. From our Washington facilities, we provide industrial components used to help cool or ventilate off systems along with plastic coverings for commercial lighting systems. These systems can range from industrial server rooms to circuit boards the size of a quarter; our small team helps our customers build some of the most interesting systems in the world. Our customers range globally from enterprise-level clients (Department of Defense, Microsoft, Boeing, etc) to small businesses (AV cabinet builders, medical device manufacturers, etc).

Role Summary

The Quality Systems Coordinator supports and enforces the company’s Quality Management System (QMS) in alignment with ISO 9001:2015. This role focuses on document control, system coordination, and compliance tracking across departments.

This is a systems and coordination role—responsible for ensuring processes are followed, documented, and closed on time, not for making engineering or production decisions.

Key Responsibilities

Document Control (Google Sites)

  • Maintain SOPs, work instructions, and policies in Google Sites
  • Control revisions, approvals, and publishing
  • Ensure only current versions are accessible; archive obsolete documents
  • Maintain document register and enforce naming/formatting standards

ECO / Change Management (Odoo PLM)

  • Administer ECO workflow (creation, routing, approvals, closure)
  • Ensure impacted roles acknowledge and implement changes
  • Verify required document updates before ECO closure

CAPA & Nonconformance Tracking

  • Log and track nonconformances and customer complaints
  • Monitor CAPAs to closure and ensure timelines are met
  • Escalate overdue or stalled actions to the HR & Admin Manager

Internal Audit Program

  • Maintain audit schedule and prepare checklists
  • Collect objective evidence and track findings
  • Follow up on corrective actions

Training & Compliance Tracking

  • Assign and track QMS training by role
  • Maintain training records and acknowledgment logs

KPI & Management Reporting

  • Maintain dashboards and track key quality metrics
  • Identify trends, risks, and recurring issues
  • Escalate issues within defined timelines

Audit Readiness & Records

  • Maintain organized, audit-ready records
  • Support customer, ISO, and regulatory audits

Management Review Support

  • Prepare KPI, CAPA, audit, and complaint summaries
  • Track management review action items

Success Profile

  • Highly organized and detail-oriented
  • Proactive in following up and enforcing deadlines
  • Comfortable coordinating across teams
  • Able to identify gaps and improve processes over time

Working Hours Requirement

  • Must be available for at least 2 hours of daily overlap with U.S. business hours (Pacific Time)
  • Remaining hours may be completed flexibly

Pay: Php25,000.00 - Php35,000.00 per month

Experience:

  • Quality Management: 2 years (Required)
