Key Responsibilities

  • Make outbound calls to hospitals, clinics, medical records departments, and retrieval vendors.
  • Track outstanding requests, follow up on delays, and resolve routine documentation issues.
  • Verify medical authorizations and ensure required documents are complete.
  • Review received records for accuracy, completeness, and correct patient information.
  • Maintain accurate request statuses, follow-up notes, and documentation in case management systems.
  • Track records-related invoices, fees, and payments as needed.
  • Coordinate with internal teams, clients, and healthcare providers.
  • Handle confidential medical information in accordance with HIPAA and company policies.

Qualifications

  • Previous experience in medical records retrieval, healthcare administration, medical billing, or legal support.
  • Experience communicating with U.S. healthcare providers or supporting U.S.-based clients is preferred.
  • Strong organizational skills, attention to detail, and problem-solving abilities.
  • Comfortable making frequent outbound calls and following up on outstanding requests.
  • Familiarity with HIPAA, medical authorizations, or release-of-information procedures is an advantage.
  • Experience using Filevine, Zoho, medical records portals, or similar systems is a plus.
  • Ability to work full-time during U.S. business hours.
  • Reliable internet connection and a quiet, professional workspace.

Experience supporting U.S. personal injury or mass tort cases is an advantage but not required.
