Full job description

Administrative and Clerical Functions

1. Validates patient data and procedure information into the Hospital Information System. Ensure proper charging of patients’ procedures and issuing receipts of payments every after session.

2. Maintain and organize patient medical records, both physical and electronic, ensuring accuracy and confidentiality.

a. Ensures that the census and scheduling files are always monitored and saved for safekeeping.

b. Proper charting of patients and ensuring all charts are properly organized.

3. Process and file paperwork, including physician orders, HMO forms, and patient consent forms.

4. Manage the department's front desk area, keeping it tidy and well-stocked with necessary forms and supplies.

a. Keeps track of office supplies currently available in the unit and ordering if needed.

5. Ensure that all computers and printers are turned off when duty ends.

6. Assists in other administrative tasks as needed.

Patient and Appointment Management

7. Schedule and confirm patient appointments for various procedures in the unit in accordance with physician orders and department protocols.

8. Register and greet patients, verifying their demographic information, HMO details, and physician referrals.

9. Answer incoming phone calls, respond to inquiries, and direct calls to the appropriate staff members.

10. Assists Physical Therapists in providing patients with necessary information regarding their appointments, including preparation instructions.

11. Assists the Physiatrists during their consultation hours.

Communication and Collaboration

12. Coordinates with the PT staff when decking patients if needed.

13. Inform the PT staff if the patient has arrived for their PT session.

14. Maintain a professional and compassionate demeanor when interacting with patients, many of whom may be anxious or in pain.

15. Ensure proper grooming is set by the hospital guidelines.

16. Reports for duty at the time stated in the work schedule.

17. Performs other tasks that may be assigned by the Physiatrists or Chief Physical Therapist.
