About the Role

We are hiring a part-time Listing Coordinator / Admin VA to support a growing real estate business with pipeline management, listing coordination, and day-to-day administrative support.

This role begins as a part-time engagement (20 hours per week) for an initial 1–2 month period, with the potential to transition to full-time based on performance.

The ideal candidate has hands-on Follow Up Boss (FUB) and MLS experience, is comfortable managing client-facing communication, and can keep listings and lead pipelines organized from contract to close.

Working Hours

Monday – Friday, 9:00 AM – 1:00 PM CST (20 hours/week, part-time)

As a Listing Coordinator / Admin VA, You Will Be Responsible For:

  • Managing the FUB pipeline to prevent lead loss, organizing tags/tasks, and logging call notes
  • Booking appointments from incoming texts
  • Managing the agent’s inbox, including replying to low-priority emails
  • Coordinating listings from contract to close, including creating listing files and updating FUB
  • Coordinating with the licensed Transaction Coordinator (TC)
  • Scheduling photographers and managing sign/lockbox delivery
  • Sending weekly seller updates
  • Handling basic seller questions via group chat (text/FUB)
  • Posting new listings to Facebook/Instagram using provided Canva templates (no content creation needed)

What Makes You a Great Fit:

  • FUB and MLS experience required.
  • Strong English communication with clear accent for client-facing calls
  • Highly organized with strong attention to detail
  • Comfortable managing multiple listings and pipelines at once
  • Self-motivated and able to work independently in a remote environment

Experience with any of the following is a plus:

  • Spanish fluency
  • Canva or Photoshop experience
