Full job description

The Front Desk Officer serves as the primary point of contact for unit owners, tenants, and daily rental guests. This role ensures smooth check-in/check-out processes, provides excellent customer service, coordinates with housekeeping and security teams, and upholds condominium policies for a safe and well-managed environment.

KEY RESPONSIBILITIES
1. Guest & Tenant Services

  • Welcome and assist unit owners, long-term tenants, and daily rental guests upon arrival.
  • Manage check-in procedures following condotel standards.
  • Verify booking details and identification.
  • Provide building information (amenities, house rules, operational hours).
  • Address inquiries, requests, and concerns promptly and professionally.
  • Handle complaints and escalate to management when necessary.
  • 2. Reservations & Booking Coordination
  • Record daily rental reservations and update the booking calendar.
  • Maintain communication channels (calls, SMS, email, booking platforms).

3. Administrative & Documentation Duties4. Coordination with Housekeeping & Security5. Compliance & Policy Enforcement

  • Maintain guest logs, incident reports, visitor forms, and entry passes.
  • Monitor issuance of keycards, access cards, and ensure proper retrieval.
  • Prepare daily activity and occupancy reports.
  • Update cleaning schedules and monitor unit readiness.
  • Coordinate with security for guest access, deliveries, and emergency situations.
  • Report defective amenities or maintenance concerns to the maintenance team.
  • Implement condominium policies, daily rental guidelines, and safety protocols.
  • Enforce guest registration, maximum occupancy rules, and noise control measures.
  • Assist in emergency response procedures (fire, medical, building emergencies).
  • Protect confidentiality of guest information per Data Privacy guidelines.

QUALIFICATIONS

Bachelor’s degree or college level (Hospitality, Tourism, Business, or related field preferred).

  • Experience in hotel front desk, condotel operations, or property management is an advantage.
  • Strong customer service, communication, and conflict-resolution skills.
  • Proficient in MS Office and basic reservation systems.
  • Neat appearance and professional demeanor.
  • Can work under pressure and handle shift schedules.
