Role Overview:

The Retail Inventory Specialist maintains perfect stock accuracy for our fast-growing fashion boutique. You will oversee inventory flow for jewelry, hair accessories, bags, wallets, shoes, perfumes, and fashion accessories. Your primary goal is to eliminate stock discrepancies, manage vendor receiving, and keep our sales floor perfectly replenished-ensuring that every customer finds exactly what they're looking for.

Key Responsibilities:

1. Inventory Management

  • Oversee the physical flow of goods from receiving to sales floor to stockroom.
  • Maintain organized, clean, and easily accessible stockrooms with proper categorization. Supervise stock rotation procedures (e.g., first-in, first-out) to ensure product freshness and quality.
  • Monitor minimum and maximum stock thresholds to prevent overstocking and stockouts.

2. Auditing & Reconciling

  • Conduct daily cycle counts of high-value and fast-moving items (jewelry, bags, footwear).
  • Perform weekly and monthly physical inventories to verify on-hand balances. Investigate and resolve variances between physical stock and digital records.
  • Reconcile discrepancies in the POS system and inventory management tools.

3. Receiving & Quality Control

  • Unpack new arrivals, inspect for damages, and ensure vendor packing slips match purchase orders.
  • Tag, barcode, and merchandise items according to brand standards.
  • Document receiving details and report any discrepancies to the Inventory Control Manager.
  • Process returns to vendors for defective or incorrect shipments.

4. Store Replenishment

  • Monitor stock levels on the sales floor and refill displays from the stockroom in real-time. - Ensure that bestsellers are always visible and readily available for customers.
  • Coordinate with Store Managers on replenishment priorities based on sales trends. Support visual merchandising by ensuring stock availability for displays and promotions.

5. Data & Reporting

  • Maintain and update inventory databases daily using UTAK POS and Google Sheets. Track inventory metrics: turnover rates, shrinkage, aging stock, and sell-through.
  • Prepare management reports on stock health, discrepancies, and reorder needs. -Assist in generating purchase orders for vendors based on stock thresholds and demand forecasts.

6. Cross-Functional Support

  • Collaborate with sales staff to quickly locate products for customers.
  • Train store associates on proper stocking, inventory processes, and cycle counting procedures.
  • Work with the Inventory Control Manager on special projects and process improvements.

Qualifications:

  • At least Senior High School graduate, College level or Bachelor's degree in Business, Supply Chain, or related field is an advantage.
  • At least 1-2 years of experience in retail inventory, stock keeping, warehousing, or cash management.
  • Experience in fashion, accessories, or lifestyle retail is a strong advantage. Highly proficient in Google Sheets (formulas, filtering, pivot tables, data organization). Hands-on experience with POS systems (UTAK POS experience is highly preferred). Familiarity with barcode scanners and inventory management software.

  • Analytical Thinking: Ability to forecast demand, analyze trends, and prevent overstocking or stockouts
  • Organizational Skills: Ability to keep a neat, categorized, and easily accessible stockroom
  • Physical Stamina: Comfortable standing for long hours, walking, and sorting through various merchandise types
  • Problem-Solving: Quick to investigate and resolve inventory discrepancies
  • Collaboration: Works well with store teams and cross-functional partners
