The Branch Secretary manages daily administrative and inventory tasks, ensuring accurate records for both new and repossessed motorcycles, proper pricing, and display. They monitor motorcycle deliveries, uphold FIFO inventory flow, and track promotional stock. The role includes managing petty cash, overseeing credit application processes, and handling loan documentation, ensuring compliance with company policies. Additionally, the Branch Secretary maintains an organized filing system, addresses customer concerns, and supports warranty processes and ownership transfers. The key outcome is efficient branch operations, accurate inventory management, and exceptional customer service.
1. Conducts inventory counts for both brand new and repossessed motorcycles (actual vs SAP/Acumatica records vs Repo Inventory Facility system), reports and resolves any discrepancies immediately in order to ensure accurate and up-to-date inventory records.
2. Ensures all motorcycles, both new and repossessed, are clearly displayed with updated price tags reflecting the latest prices and promotions, in accordance with company policies.
3. Inspects and receives motorcycles from suppliers or warehouses, ensuring they are free of damage. Document and report any discrepancies or damages promptly in order to ensure a well-recorded inventory, with discrepancies quickly addressed, ensuring high-quality customer experience.
4. Ensures proper inventory flow by following FIFO (First In, First Out) procedures, including the movement of motorcycle, tracking of parts, TBA’s, and promotional items in order to optimize inventory usage, minimizing the risk of overstocking or expired inventory. Implements sticker coding for aging inventory.
5. Tracks the daily, weekly, and monthly movement of promotional inventory. Ensure accurate real-time recording, and issue proper documentation for movement and releases in order to ensure that stocks are managed effectively and discrepancies are resolved in a timely manner.
6. Checks the status of motorcycle registrations and plates daily. Informs customers of the status and ensures the completion of all necessary registration documents and payments in order to facilitate the timely and accurate registration processing, improving customer satisfaction and compliance with regulations.
7. Manages and replenishes petty cash, ensuring accurate tracking of expenses and proper documentation. Prepares necessary reports for approval and monitor gas and unusual expenses such as postage, utilities, rentals and rags in order to ensure that the branch operates within budget and follows company expense policies.
8. Verifies the completeness of credit applications and customer documents. Facilitates credit approval and stock availability before preparing and explaining the sales contract to customers in order to ensure an efficient credit application processes with timely approvals and achieve customer satisfaction.
9. Submits necessary documents for loan booking and BMI LOD evaluation. Ensures all required forms are scanned and submitted for disbursal of loans and account management in order to facilitate the quick loan disbursement and accurate record-keeping.
10. Prepares and reviews all required documentation (sales contract, customer checklists, etc.) before submission in order to ensure accurate and complete documentation for all motorcycle loan agreements, minimizing errors and promote compliance.
11. Establishes and maintains an efficient filing system for loan documents and related paperwork in order to ensure a well-organized and secure filing system, making it easy to retrieve necessary documents when needed.
12. Addresses customer concerns or complaints promptly and accurately in order to increase customer satisfaction through timely and clear communication.Ensure all concerns are encoded in the system.
13. Performs other tasks given by the company official as the need arises such as but not limited to the following:
- Act as cash custodian in the absence of the CCN.
- Assist with warranty processes and provide customer support.
- Coordinate and follow up on customer renewals and ownership transfers.
- Print and file the latest memos, price lists, and promotions for branch use.
