About the Role

We're looking for an experienced Customer Support Specialist to manage backend client operations and administrative processes. This role is responsible for contract management, billing, invoicing, client follow-ups, and keeping internal operations organized.

You'll play a key role in supporting leadership by taking ownership of day-to-day administrative responsibilities, allowing them to focus on client relationships, business development, and company growth.

Key Responsibilities

Client Onboarding & Contract Management

• Send and manage contracts through DocuSign or similar platforms.
• Follow up on unsigned or incomplete agreements.
• Collect billing information and client contact details.
• Maintain accurate records for prospective, onboarding, and active clients.

Billing & Invoicing

• Create and send invoices using QuickBooks.
• Monitor payments and follow up on outstanding invoices.
• Maintain accurate billing records and provide payment updates.

Client Support

• Respond to routine administrative inquiries.
• Follow up on contracts, invoices, scheduling, and next steps.
• Escalate clinical or complex issues to leadership when appropriate.

Operations & Process Improvement

• Maintain organized records using Google Workspace.
• Track client status, billing, follow-ups, and outstanding tasks.
• Document processes through SOPs and Loom recordings.
• Recommend improvements to workflows and administrative processes.
• Support client outreach and additional customer success initiatives as the business grows.

What We're Looking For

• Experience with QuickBooks (billing, invoicing, and payment tracking).
• Strong proficiency with Google Workspace (Sheets, Docs, Drive, Gmail).
• Experience managing contracts, client records, and administrative workflows.
• Experience handling confidential or HIPAA-sensitive information.
• Excellent written and verbal communication skills.
• Highly organized with strong attention to detail and follow-through.

Nice to Have

• Experience with DocuSign or similar e-signature platforms.
• Experience creating SOPs or Loom documentation.
• Background in healthcare administration, medical billing, or skilled nursing facilities.

Pay: Php30,000.00 - Php32,000.00 per month
