We’re looking for a Data Entry Virtual Assistant to handle data encoding and records processing tasks, ensuring accuracy and efficiency in managing client files and creditor information.

Key Responsibilities

  • Maintain and prepare source data for computer entry by compiling, sorting, and verifying information.
  • Collect and validate completeness of all information before entering data into software programs.
  • Manage a dedicated email account where proofs of claim are received via email or fax-to-email.
  • Ensure creditor addresses and debt amounts are entered accurately into the system.
  • Establish entry priorities to meet deadlines and service-level agreements.
  • Process customer and account source documents by reviewing data for deficiencies and inconsistencies.
  • File and organize paperwork used for data entry to maintain proper records of original documents.
  • Safeguard sensitive financial and client information with strict confidentiality.
  • Assist with special projects requiring large-scale data entry and reconciliation.
  • Comply with data integrity, confidentiality, and security policies at all times.
  • Input text-based and numerical information from source documents with speed and accuracy.
  • Verify outdated data, update records, and ensure accuracy across databases.
  • Maintain bookkeeping systems, databases, and financial records to support operational efficiency.
  • Provide general administrative support to the sales and finance teams.
  • Type in data quickly and efficiently to meet productivity targets.
  • Coordinate with finance and banking teams to ensure proper documentation of claims, invoices, and reconciliations.
  • Support billing, collections, and account reconciliation processes as needed.

Job Requirements

  • Bachelor’s or Associate degree in Accounting, Finance, Banking, Information Technology, or related field, or equivalent practical experience.
  • Proven work experience as a Data Entry Operator, Office Clerk, or in a banking/finance environment.
  • Hands-on experience with MS Office, data entry software, and financial systems.
  • Strong understanding of basic accounting principles, billing processes, and financial documentation.
  • Ability to concentrate for extended periods and perform tasks with accuracy and speed.
  • Excellent typing speed
  • Good communication skills
