Full job description

Key responsibilities

  • Trip planning support
  • Build and maintain detailed day-by-day itineraries (activities, transfers, dining, notes, timings)
  • Cross-check all logistics for accuracy: names, dates, flight numbers, pick-up times, hotel details, policies
  • Prepare clear, client-ready documents (flight summaries, hotel options, booking confirmations, packing notes)
  • Supplier coordination
  • Draft and send professional emails to DMCs, hotels, guides, transfer teams, and concierge contacts
  • Track responses and follow-ups; keep status updates moving without gaps
  • Organise quotes and compare options clearly (rates, inclusions, cancellation terms, deadlines)
  • Data & systems management
  • Version control: ensure the latest itinerary/flight details are always correct and easy to find
  • Create simple internal trackers for trip components (booked / pending / deadlines/commissions/payments)
  • Client-ready finishing
  • Proofread everything (excellent English is essential)
  • Ensure communications match a luxury tone: calm, precise, warm, and professional
  • Protect client privacy and handle sensitive details with discretion

Required skills & qualities

  • Exceptional attention to detail (you naturally spot inconsistencies before anyone else does)
  • Discretion and professionalism with UHNW/HNW client information
  • Strong written English (native or near-native level)
  • Punctual, reliable, and responsive — you don’t miss deadlines
  • Good with people: warm, service-minded, and comfortable communicating with clients and partners
  • Passion for travel and a global outlook (curious, culturally aware, enjoys learning destinations)
  • Comfortable working independently and anticipating next steps

Nice to have (but not essential)

  • Experience in travel / hospitality / concierge / aviation / executive support
  • Familiarity with Notion, Trello Google Workspace, itinerary tools, or CRM systems
  • Comfort coordinating across time zones and managing moving parts under time pressure

What success looks like

  • Trips are impeccably organised and easy for clients to understand
  • Fewer last-minute issues because details were checked early
  • The advisor has clean, current information at all times (no hunting for files)
  • Clients experience a seamless, high-touch standard from first email to final travel day

Pay: Php25,000.00 - Php30,000.00 per month
