Job Title: Catering Administrative Assistant (Remote)
Location: Remote (US-Based Restaurant Group)
Reports to: Catering Managers
Work Setup: 100% Work From Home

Role Overview
We are looking for a sharp, detail-oriented Catering Administrative Assistant to serve as the backbone of our catering department. This is a dedicated support role designed to handle the "heavy lifting" of administrative tasks, allowing our two Catering Professionals to focus on sales and client relationships.
The ideal candidate understands the fast-paced nature of the Food & Beverage (F&B) industry and possesses the discipline to manage complex billing and contracts from a home office.

Key Responsibilities

  • Contract Management:
    Draft, update, and send catering contracts and Banquet Event Orders (BEOs) based on manager specifications.
  • Billing & Invoicing: Navigate our POS/billing systems to process deposits, send final invoices, and follow up on outstanding payments.
  • Data Entry & CRM Maintenance: Ensure all client information, event dates, and menu selections are accurately logged in our catering software.
  • Communication Bridge: Act as the point of contact for administrative inquiries, ensuring clients receive timely responses regarding their documentation.
  • Menu Updates: Assist in updating digital catering menus and collateral across various platforms.
  • Reporting: Compile weekly sales or lead reports for the catering team to review.

Required Qualifications

  • Experience:
    At least one (1) year of experience working within the Food & Beverage (F&B) or Hospitality industry.
  • Remote Proficiency: Proven experience working in a remote environment.
  • Organizational Mastery: Exceptional ability to multitask and manage deadlines without direct physical supervision.
  • Technical Savvy: Comfortable learning new software (Catering CRM, POS systems, and Google Workspace/Microsoft 365).
  • Communication: Strong written and verbal English skills, with a professional tone suitable for client-facing emails.
Preferred Skills

  • Global Collaboration:
    Previous experience working remotely for a foreign client or boss is highly preferred.
  • Financial Literacy: Comfort with basic accounting principles (tax, gratuity, and service charge calculations).
