Personal Assistant to Founder — Business, Academic & Personal Brand Support

Working Hours: Primarily Singapore/Philippines business hours

About the Role

I am looking for a smart, organised and highly dependable Personal Assistant to work directly with me.

I am a business founder, trainer and speaker, and I will also be undertaking postgraduate studies. I create content regularly and travel for work.

This role therefore has three important parts:

• Personal & business assistance
• Academic and research assistance
• Personal branding and content support

This is not a highly senior position. You do not need many years of experience.

What matters most is that you have excellent English, are intelligent and organised, can research effectively, learn quickly, and are comfortable using AI tools such as ChatGPT.

1. Academic & Study Support — 40%

This is an important part of the role.

You will help me stay organised and perform at a high standard throughout my postgraduate programme.

Course Management

You will:

• Keep track of classes, assignments, examinations and submission deadlines
• Maintain an academic calendar
• Organise course materials by module
• Download and organise readings
• Keep lecture slides, papers, assignments and notes properly filed
• Maintain a list of upcoming academic tasks
• Remind me well ahead of important deadlines
• Help ensure that I don't fall behind when business becomes busy

Research

You will help me:

• Search for academic journal articles
• Find relevant research papers
• Locate credible reports and industry information
• Find books, papers and case studies relevant to assignments
• Identify recent research on a topic
• Organise research into folders
• Maintain reference lists
• Use Google Scholar and academic databases effectively
• Check whether sources are credible
• Use AI tools appropriately to accelerate research

You should eventually be able to receive a request such as:

"I'm working on an assignment about scaling a service business. Find me 10 strong academic papers from the last five years and organise them for me."Reading Support

You may be asked to:

• Read academic papers
• Extract important arguments
• Summarise readings
• Identify important models and frameworks
• Highlight useful quotations or evidence
• Compare different authors' arguments
• Prepare short reading briefs before class
• Identify sections I should personally read in greater depth

The objective is to help me spend my study time on thinking and learning, rather than spending hours searching for information.

Assignment Support

You will also help with the process around assignments.

This can include:

• Reading assignment instructions
• Breaking assignments into smaller tasks
• Analysing marking rubrics
• Helping organise research
• Brainstorming possible approaches with me
• Helping structure arguments
• Finding supporting evidence
• Checking whether claims are properly supported
• Reviewing drafts
• Proofreading grammar and English
• Checking citations and references
• Formatting documents
• Preparing tables, exhibits and appendices
• Helping prepare presentation slides
• Helping me rehearse presentations
• Creating revision notes and study materials

You will not be expected to write assessed assignments on my behalf.

The thinking and final academic work must remain mine. Your role is to make sure I have the research, organisation, preparation and feedback required to produce strong work.

2. Personal & Business Assistance — 35%

You will help keep my professional and personal life organised.

Responsibilities may include:

• Managing my calendar
• Scheduling appointments and meetings
• Sending reminders
• Coordinating meetings
• Tracking tasks and commitments
• Following up with people
• Organising flights and accommodation
• Preparing travel itineraries
• Researching hotels, venues, restaurants or services
• Organising documents and files
• Coordinating workshop logistics
• Communicating with team members and suppliers
• Helping with simple administrative tasks
• Keeping track of information I need
• Researching purchases or options
• Helping me remember and follow through on commitments

I don't expect you to know everything.

I expect you to be resourceful enough to figure things out.

3. Personal Brand & Content Support — 25%

I regularly create content around areas such as:

• Leadership
• Change
• Learning
• Careers
• Entrepreneurship
• Human behaviour
• Personal development

You will help me organise and develop my personal-brand content.

This includes:

• Researching content topics
• Finding interesting studies, statistics and examples
• Maintaining an ideas bank
• Capturing ideas I send through WhatsApp/voice notes
• Organising content ideas into themes
• Suggesting possible hooks and angles
• Preparing simple content outlines
• Maintaining my content calendar
• Organising filming sessions
• Preparing basic filming lists
• Keeping track of content that needs editing
• Coordinating with editors or marketing staff
• Organising photographs and video assets
• Helping repurpose existing content

You do not need to be a professional social-media strategist.

You should, however, be interested in social media and understand what makes online content interesting.

Because you will be helping with postgraduate academic work and personal-brand content, your English must be very good.

You should be able to:

• Summarise information accurately
• Write clearly
• Spot grammatical mistakes
• Communicate professionally
• Explain what you have researched

Your accent is irrelevant.

Comprehension and written English matter considerably more.

Qualifications

A university degree is preferred.

Approximately 0–3 years of experience is completely acceptable.

Training can be provided.

Job Types: Full-time, Fixed term, Fresh graduate

Pay: Php20,000.00 - Php25,000.00 per month
