– Review and analyze financial results versus budget and prior periods, providing Management with clear explanations of variances and their business implications.

– Oversee the preparation of consolidated financial statements in accordance with Philippine Financial Reporting Standards (PFRS) and Company policy.

– Coordinate with Treasury on cash positioning, funding requirements, and working capital management to support ongoing retail operations.

– Define and periodically re-define Accounting and Controllership KPIs, ensuring these are anchored on reporting accuracy, timeliness, and control effectiveness.

  • Retail Accounting Operations

– Exercise overall supervision of Retail Accounting operations, ensuring accurate recording and reporting of sales, receivables, and store-level transactions.

– Monitor store and branch profitability, reviewing gross margin, cost of goods sold (COGS), and other key retail financial metrics against targets.

– Ensure timely and accurate daily/weekly sales reconciliation across all retail outlets, resolving discrepancies promptly with concerned units.

– Oversee shrinkage analysis and monitoring, recommending corrective action on recurring or material variances.

– Ensure retail financial reports, dashboards, and store performance scorecards are delivered accurately and on schedule to Management.

  • Field Accounting Oversight

– Supervise Field Accounting Officers assigned to branches/stores, ensuring consistent application of Company accounting policies and procedures.

– Review branch financial reports, ensuring completeness, accuracy, and compliance with Head Office reporting requirements and deadlines.

– Monitor branch petty cash funds, disbursements, and liquidations, ensuring adherence to approval limits and supporting documentation requirements.

– Ensure fixed asset accountability at the branch/store level, including periodic physical counts, tagging, and reconciliation with accounting records.

– Monitor branch operating expenses against approved budgets, flagging unusual or unbudgeted spending for review.

– Ensure prompt resolution and closure of store/branch audit findings, working with Field Accounting Officers and store management on corrective action plans.

  • Budgeting, Forecasting, and Cost Control

– Lead the preparation of the annual budget and periodic forecasts for the retail business, in coordination with Sales, Operations, and other departments.

– Monitor actual performance against budget and forecast, providing early warning on adverse trends and recommending corrective measures.

– Drive cost control initiatives across Head Office and field/store operations, identifying opportunities to improve cost efficiency without compromising service standards.

– Review and approve expenditures within delegated authority limits, ensuring alignment with approved budgets and Company policy.

  • Inventory Accounting and Store Financial Performance

– Oversee inventory accounting policies and procedures, ensuring accurate valuation, costing, and reporting of merchandise inventory.

– Ensure regular physical inventory counts are conducted at stores and warehouses, with variances investigated, explained, and properly adjusted in the books.

– Monitor inventory turnover, aging, and obsolescence, recommending write-down or disposal action where warranted.

– Consolidate and analyze store-level financial performance, identifying underperforming locations and supporting root-cause analysis with Retail Operations.

  • Tax Compliance and Regulatory Requirements

– Ensure full and timely compliance with BIR requirements, including tax return preparation, filing, and payment across all applicable tax types.

– Oversee tax reporting and documentation, ensuring accuracy and readiness for BIR examinations and other regulatory inquiries.

– Monitor changes in tax regulations and other applicable government requirements, ensuring the Company's accounting practices remain compliant.

– Ensure compliance with other regulatory and statutory reporting requirements applicable to retail operations.

  • Internal Controls and Risk Management

– Establish, monitor, and continuously strengthen internal controls over cash handling, inventory, disbursements, and financial reporting across Head Office and field/store units.

– Identify, assess, and mitigate financial and operational risks, escalating material exposures to the CFO with recommended action.

– Ensure adherence to Company policies, approval matrices, and segregation-of-duties requirements throughout the accounting organization.

– Lead process improvement initiatives to enhance the efficiency, accuracy, and control environment of accounting operations.

  • Audit Coordination

– Serve as the primary point of coordination for external audit, ensuring timely provision of schedules, documentation, and explanations required by auditors.

– Coordinate with Internal Audit on the conduct of branch/store and Head Office audits, ensuring findings are addressed and corrective actions are implemented and monitored to closure.

– Ensure audit recommendations are translated into concrete improvements in accounting policies, procedures, and controls.

  • Treasury Coordination

– Coordinate closely with the Treasury function on cash flow forecasts, funding requirements, and timing of disbursements to support smooth retail operations.

– Ensure accounting records and reports reconcile with Treasury's cash position and bank reconciliation reports.

– Provide Treasury with accurate and timely accounting inputs to support liquidity planning and financing decisions.

  • Team Leadership

– Lead, supervise, and mentor the Accounting team, including Accounting Managers/Supervisors and Field Accounting Officers, ensuring their professional growth and development are maintained at all times.

– Coach and develop team members on technical accounting matters, retail-specific financial analysis, and Company policies and procedures.

– Manage performance of the Accounting organization, setting clear goals, conducting regular reviews, and addressing performance gaps promptly.

– Ensure adequate staffing coverage, succession planning, and cross-training across Head Office and Field Accounting teams.

– Foster cross-functional collaboration with Treasury, Retail Operations, Sales, and other departments to support overall business objectives.
