Job Overview

We are looking for a detail-oriented and analytical Loan Administrator to support the end-to-end mortgage lending process. This role will handle underwriting support, loan documentation, funding coordination, post-closing administration, compliance, and communication with brokers, lawyers, appraisers, insurers, and internal teams.

The ideal candidate has experience in loan administration, mortgage processing, or underwriting, with strong attention to documentation accuracy, risk assessment, and regulatory compliance.

Key Responsibilities

  • Evaluate mortgage applications based on private lending criteria and property marketability.
  • Analyze borrower profiles, credit reports, income, assets, equity, financial statements, and appraisals.
  • Assess lending risks, including creditworthiness, LTV ratios, and property valuation.
  • Structure mortgage transactions according to lending guidelines and risk tolerance.
  • Prepare and issue Letters of Intent (LOIs), mortgage commitments, and related documents.
  • Follow up on outstanding loan conditions and required documentation.
  • Collect, verify, and reconcile information from multiple sources.
  • Review funding packages for completeness and compliance with approved commitments and legal requirements.
  • Track funding conditions, including insurance, registrations, AML documentation, and third-party requirements.
  • Coordinate wire requests and fund disbursements after required approvals are completed.
  • Maintain accurate and organized loan files and system records.
  • Complete post-closing activities, including checklists, system updates, audits, and final reporting.
  • Coordinate with mortgage brokers, lawyers, appraisers, insurers, and internal departments.
  • Ensure compliance with applicable federal, provincial, and local mortgage lending regulations.
  • Assist in improving loan processes, templates, checklists, trackers, and procedures.

Qualifications

  • Previous experience in loan administration, mortgage underwriting, or mortgage processing, preferably in private lending.
  • Strong understanding of mortgage risk analysis, credit assessment, LTV ratios, and property valuation.
  • Proficient in Microsoft Office 365, Outlook, OneDrive, DocuSign, and Google Drive.
  • Strong data entry, validation, reconciliation, and documentation skills.
  • Excellent written and verbal English communication skills.
  • Highly organized, methodical, and detail-oriented.
  • Strong negotiation and conflict-resolution skills.
  • Able to manage multiple files and high-volume workloads while meeting strict deadlines.
  • Reliable, adaptable, and capable of working independently after training.
  • Willing to learn private mortgage lending practices and regulatory requirements.
