Key Responsibilities:

  • Provide comprehensive administrative and secretarial support to the Executive Administration.
  • Manage calendars, schedules, appointments, and meetings for executives.
  • Prepare meeting agendas, record minutes, and ensure timely distribution of official documents.
  • Draft, proofread, and manage correspondence, reports, memoranda, and presentations.
  • Maintain organized and confidential filing systems for records and executive documents.
  • Coordinate executive meetings, projects, and institutional initiatives.
  • Serve as the primary liaison between the Executive Administration and hospital departments, physicians, government agencies, and external stakeholders.
  • Respond professionally to inquiries from internal and external clients.
  • Assist in the implementation of administrative policies, procedures, and executive directives.
  • Monitor office operations and ensure efficient workflow.
  • Manage office supplies and coordinate procurement when necessary.
  • Handle incoming and outgoing communications, including emails, telephone calls, and official correspondence.
  • Utilize Microsoft Office applications and other office management software to prepare reports and presentations.
  • Prioritize multiple tasks, maintain confidentiality, and perform other duties as assigned by the Executive Administration.

Qualifications

  • Bachelor's Degree in Business Administration, Management, or any related field.
  • MBA or postgraduate studies are an advantage.
  • At least five (5) years of relevant experience in executive support, administration, or office management, preferably in a healthcare or corporate setting.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Strong organizational, multitasking, and time management abilities.
  • Demonstrated leadership, problem-solving, and decision-making skills.
  • High level of professionalism, integrity, discretion, and confidentiality.
