Key Responsibilities:
- Provide comprehensive administrative and secretarial support to the Executive Administration.
- Manage calendars, schedules, appointments, and meetings for executives.
- Prepare meeting agendas, record minutes, and ensure timely distribution of official documents.
- Draft, proofread, and manage correspondence, reports, memoranda, and presentations.
- Maintain organized and confidential filing systems for records and executive documents.
- Coordinate executive meetings, projects, and institutional initiatives.
- Serve as the primary liaison between the Executive Administration and hospital departments, physicians, government agencies, and external stakeholders.
- Respond professionally to inquiries from internal and external clients.
- Assist in the implementation of administrative policies, procedures, and executive directives.
- Monitor office operations and ensure efficient workflow.
- Manage office supplies and coordinate procurement when necessary.
- Handle incoming and outgoing communications, including emails, telephone calls, and official correspondence.
- Utilize Microsoft Office applications and other office management software to prepare reports and presentations.
- Prioritize multiple tasks, maintain confidentiality, and perform other duties as assigned by the Executive Administration.
Qualifications
- Bachelor's Degree in Business Administration, Management, or any related field.
- MBA or postgraduate studies are an advantage.
- At least five (5) years of relevant experience in executive support, administration, or office management, preferably in a healthcare or corporate setting.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Strong organizational, multitasking, and time management abilities.
- Demonstrated leadership, problem-solving, and decision-making skills.
- High level of professionalism, integrity, discretion, and confidentiality.
