Role Summary

The Junior DMS Solutions & Post-Scan Associate (IT Assistant) is an entry-level position designed for recent graduates or early-career professionals looking to build a career in Enterprise Content Management (ECM) and digital transformation. Under the mentorship of the Principal DMS Solutions Lead, you will support the technical integrity of document management systems (DMS) and ensure the accuracy of post-scan data processing. This role blends technical system support, data governance, and hands-on project coordination.

Key Responsibilities

1. Technical Support & System Implementation

  • System Deployment Assistance: Support the installation and configuration of project hardware, including high-volume scanners and network switches.
  • Platform Learning: Develop expertise in core DMS architecture, APIs, and workflow engines to assist in maintaining system health.
  • Quality Gate Support: Assist in gathering technical documentation required for critical "Quality Gates," such as Design Freezes and Migration Readiness.

2. Post-Scan Data Governance

  • Metadata & Indexing: Assist in the classification and indexing of scanned documents to ensure they are tagged with 100% accurate metadata.
  • Information Architecture: Support the design of taxonomies and metadata structures for projects involving up to 2,000,000 pages.
  • Validation: Work with the "Validator Stage" to ensure uploaded files meet technical standards, including 200 DPI resolution and correct TIFF/PDF formats.

3. Business Analysis & Testing

  • UAT Coordination: Help lead User Acceptance Testing (UAT) with concurrent users to verify that search and retrieval functions meet client requirements.
  • Workflow Documentation: Map end-to-end workflows from initial document submission to final system deployment.
  • Issue Tracking: Identify and log system defects or bottlenecks, collaborating with senior leads to resolve them quickly.

4. Project Administration & Growth

  • Reporting: Maintain daily logs and status reports regarding project health and milestone completion for PMO review.
  • Presales Support: Assist in building product demonstrations and Proof-of-Concept (PoC) environments for prospective clients.
  • Admin Tasks: Support the collection of daily attendance records and receipts for staff allowances to ensure finance compliance.

Prerequisites & Preferred Skills

  • Education: Recent graduate with a degree in Information Technology, Computer Science, Business Administration, or a related field.
  • Communication Mastery: Ability to facilitate meetings between technical teams and client stakeholders to align on requirements.
  • Detail-Oriented QA: Exceptional focus on verifying the accuracy of metadata for millions of digital records.
  • Technical Proficiency: Familiarity with project management or CRM tools (e.g., Salesforce, HubSpot) is a plus.
  • Adaptability: Willingness to assume responsibility for various tasks across multiple related projects as designated by leadership.

Pay: Php20,000.00 - Php25,000.00 per month
