Remote Construction Administrator

Location: Remote - Cebu, Philippines

Organize Details and Help Build Systems Behind Luxury Homes

Luxe Homes LLC is a Bend, Oregon-based luxury residential builder specializing in high-end custom and thoughtfully designed spec homes with a focus on craftsmanship, communication, and client care. The company specializes in exceptional residential construction and supports clients through planning, budgeting, design coordination, selections, and project execution. This remote role will help bring structure, organization, and follow-through to the back end of the business.

Luxe Homes is looking for a proactive Remote Construction Administrator based in Bogotá to help organize project information, invoices, subcontractor documents, emails, software updates, and day-to-day administrative tasks. This role is best suited for someone with construction administration experience who can help bring structure, consistency, and accountability to both project administration and day-to-day business operations.

This is more than a traditional administrative position. You will work directly with the owner to organize information, improve processes, build systems, and help create a scalable operational foundation for a growing luxury homebuilding company.

Key responsibilities:

Construction Administration

  • Receive, organize, verify, and track subcontractor and vendor invoices.
  • Help ensure invoices are included in owner draws and vendor payments are not overlooked.
  • Maintain organized digital project files and documentation.
  • Track subcontractor agreements, W-9 forms, insurance certificates, lien releases, permits, and compliance documentation.
  • Organize project selections, finish schedules, specification sheets, fixture information, and product documentation.
  • Assist with purchase order tracking and material procurement coordination.
  • Monitor project management software for missing information, incomplete tasks, overdue items, or required updates.
  • Track project action items and follow-up responsibilities.
  • Help maintain accurate project budgets, allowances, change orders, and selection records.
  • Support preparation of client updates and project reporting.

Operations & Process Improvement

  • Develop and maintain Standard Operating Procedures (SOPs) for recurring business activities.
  • Create organized systems for file management, project administration, communication tracking, and workflow management.
  • Identify inefficiencies and recommend improvements to administrative and project management processes.
  • Build checklists, templates, workflows, and organizational tools to improve consistency and accountability.
  • Assist in implementation and optimization of JobTread and other operational software platforms.

Executive & Administrative Support

  • Assist with email organization and prioritization.
  • Monitor communication channels and flag urgent issues.
  • Schedule meetings, appointments, and project-related calls.
  • Prepare meeting agendas, notes, and action item summaries.
  • Track commitments and deadlines to ensure follow-through.
  • Support document preparation, data entry, spreadsheet management, and reporting.

Vendor & Client Coordination

  • Follow up with subcontractors, suppliers, consultants, and vendors regarding documentation, scheduling, orders, and outstanding requests.
  • Help maintain professional communication records.
  • Assist with client communication tracking and organization.
  • Support warranty and service request administration when applicable.

Technology & Systems

  • Utilize JobTread project management software, cloud-based document systems, spreadsheets, and communication platforms.
  • Leverage AI tools such as ChatGPT and other productivity technologies to improve efficiency and documentation.
  • Assist with CRM management and lead tracking systems as the company grows.
  • Help create dashboards and reports that provide visibility into project and operational status.

Qualifications:

  • 1+ years of administrative experience in the construction industry required.
  • Strong English communication skills, both written and spoken.
  • Spanish fluency is a plus, especially for communicating with Spanish-speaking contractors or workers.
  • Highly organized, detail-oriented, proactive, and comfortable taking initiative.
  • Experience with JobTread is a strong plus, though proficiency can be achieved on the job.
  • Willingness and ability to learn construction management software quickly.
  • Comfortable working with invoices, documents, spreadsheets, email, cloud folders, and project details.
  • Able to follow up professionally and keep information organized without constant supervision.
  • Must be reliable, responsive, and comfortable working remotely with a U.S.-based construction company.
