Overview

We are seeking a highly reliable and detail-oriented Customer Service & Order Processing Specialist to manage inbound order processing, customer inquiries, and administrative sales support functions. This role is primarily administrative in nature, supporting both U.S. and Canadian operations by managing shared inboxes, entering orders, and ensuring smooth day-to-day customer service workflows.

The ideal candidate is organized, responsive, and comfortable working in a fast-paced, process-driven environment with minimal supervision. This position requires strong communication skills, attention to detail, and the ability to toggle between multiple systems and responsibilities efficiently.

Key Responsibilities

Customer Service & Order Management

  • Monitor shared inboxes and manage incoming customer orders
  • Review, process, and enter orders accurately into internal systems
  • Tag and track orders through completion, ensuring proper documentation
  • Respond to customer inquiries (primarily email, occasional phone)
  • Provide product information such as spec sheets and basic details
  • Coordinate with internal teams (technical support, product, engineering) as needed

Sales Support & Administration

  • Support inside sales function through administrative coordination
  • Assist with customer follow-ups and general account support
  • Maintain accurate records of customer interactions and transactions
  • Utilize CRM systems to log activities and manage workflows
  • Ensure timely communication and follow-through on all customer requests

Operational & ERP Support

  • Enter and manage data within ERP system (Epicor)
  • Perform basic purchasing and buying functions
  • Assist with invoicing and order completion processes
  • Maintain organized and up-to-date records across systems
  • Toggle between multiple company inboxes and workflows (U.S. and Canada)

General Administrative Support

  • Handle low-volume inbound calls and route appropriately
  • Troubleshoot basic customer issues and escalate when necessary
  • Support internal teams with administrative tasks as needed
  • Maintain high levels of accuracy, organization, and responsiveness
  • Ensure adherence to company processes and service standards

Preferred Skills & Qualifications

  • Minimum 3 years experience supporting US companies
  • Prior experience in customer service, administrative support, or sales support role
  • Experience working with CRM systems (Microsoft Dynamics preferred)
  • Familiarity with ERP systems (Epicor or similar) is a plus
  • Strong proficiency with Microsoft Teams and remote collaboration tools
  • Excellent written and verbal English communication skills with minimal accent
  • High attention to detail and strong organizational skills
  • Ability to manage multiple tasks and prioritize effectively
  • Comfortable working US Eastern Time Zone hours consistently
  • Reliable internet connection with backup and appropriate work setup

  • Experience supporting both U.S. and international business operations
  • Background in order processing, procurement, or invoicing workflows
