What You'll Do in the Role

Client anniversaries and annual reviews

  • Monitor our automated client anniversary system and action review reminders as they fall due.
  • Phone clients who need an appointment and book them into the correct adviser's calendar.
  • Follow up clients who have not responded to automated reminders, by phone and email.
  • Keep client records in our CRM accurate and up to date after every contact.

Client arrears (Missed premiums)

  • Monitor arrears and missed-premium notices received from insurance providers.
  • Contact affected clients promptly and professionally to help them resolve the missed payment and keep their cover in place.
  • Update payment details or arrange reinstatement paperwork with the provider where required.
  • Escalate to the client's adviser any case where cover is at risk of lapsing, or where the client wants to reduce or cancel their cover
  • Record every action taken on the client file.

Paraplanning (Training provided)

After you are settled in the client service work, we will train you to prepare advice reports (Statements of Advice) for our advisers. This covers:

  • Personal risk insurance: life, trauma, total and permanent disablement (TPD), income protection, and health insurance.
  • Basic KiwiSaver planning and reporting.
  • Preparing product research and quote comparisons across New Zealand insurance and KiwiSaver providers.
  • Building reports from the adviser's meeting notes and fact find, to Sprout's documented standard.
  • Checking files for completeness and flagging any gaps or inconsistencies to the adviser before a report is finalise.

Skills and Qualifications

Essential

  • Strong English communication skills - particularly written/email communication, as the bulk of client interaction is via email.
  • Ability to handle client communications professionally, including managing difficult or angry client interactions
  • Strong initiative and good judgement - the role is largely reactive and requires someone who can take ownership and follow through without constant direction.
  • Strong attention to detail and ability to manage multiple follow-ups and outstanding items simultaneously.

Preferred (Not Mandatory)

  • New Zealand insurance experience is highly preferred but not required.
  • Experience with Trail or XPlan-style CRM systems is a plus (the business uses a custom CRM modeled on these systems).
  • Background in customer service or general administration is acceptable for candidates without direct insurance experience.
