Position Title: Construction Operations Assistant – Residential (AU Clients)

Schedule: Monday – Friday, 9:00 am - 5:30 pm NSW, AU Time or 7:00 AM – 3:30 PM PH Time

Holiday to follow: NSW, AU Holidays

Workdays: Mon - Fri

Work Set-up: Work From Home or office.

Role Overview

Our NSW based client is seeking a highly organized and proactive Construction Administrative Assistant to support the day-to-day operations of a residential construction business. The ideal candidate will have previous experience working with Australian residential builders and be comfortable handling a variety of administrative, compliance, and project support tasks.

This role requires strong communication skills, excellent attention to detail, and the ability to coordinate with trades, suppliers, councils, and internal stakeholders to ensure projects remain organized and compliant.

Key Responsibilities

Administrative Support

· Provide general administrative support across the business

· Manage and organize company email inboxes

· Maintain accurate project records, files, and documentation

· Collect, organize, and track project-related documents

· Assist with data entry, reporting, and document management

Compliance & Documentation

· Prepare, submit, and follow up on council applications and approvals

· Manage compliance paperwork and ensure documentation is current and complete

· Track and maintain records of licences, certificates, permits, and project documentation

· Follow up with trades and suppliers to obtain required certificates, insurances, and compliance documents

Customer Service & Project Support

· Manage customer service administration and email correspondence

· Follow up on project-related communications and outstanding documentation

· Support scheduling and coordination activities as required

· Assist project teams with administrative tasks throughout the project lifecycle

Supplier & Trade Coordination

· Liaise with trades and suppliers regarding documentation requirements

· Follow up on outstanding certificates, compliance paperwork, and project information

· Assist with maintaining organized supplier and subcontractor records

Key Skills & Qualifications

· 2–3 years of experience in an administrative role within an Australian residential construction business

· Excellent written and verbal English communication skills

· Strong organizational and time management abilities

· Experience managing project documentation and compliance requirements

· Ability to work independently and prioritize multiple tasks effectively

· High attention to detail and accuracy

Highly Regarded / Advantageous

· Experience with residential construction project administration

· Familiarity with council applications and approval processes

· Experience assisting with scheduling and project coordination

· Exposure to construction compliance requirements and documentation management

· Additional construction industry experience beyond administration
